Job description

Contracts Administrator

Main Purpose of Job:
To provide high quality and professional administration support to the Contract Managers, Site Staff and colleagues.
Key Duties and Responsibilities:

  • Working directly with the Contracts Managers.
  • Assisting Contract Managers with all project related administration.
  • Obtaining quotes from suppliers.
  • Placing orders/call-offs for projects and ensure Procurement Schedule is adhered to.
  • Creating H&S files, risk assessments and method statements
  • Producing and continuously updating O&M manuals ensuring certificates are registered with appropriate authority.
  • Deal with in-coming Pre-Qualification Questionnaires (PQQs) and maintain existing approved status with our clients
  • Managing the Sub-Contractor Database, keeping Supplier Insurances up to date etc
  • Assisting with the maintenance of office systems, including data management, databases, spreadsheets and filing
  • Provide administration support to the Directors and Administration Team Leader
  • Liaising with the design team.
  • Maintaining office diary system and client database.
  • Monitoring e-mails for nominated members of staff when they are not in the office.
  • General administrative and office duties.
  • Screening phone calls, enquiries & requests, and handling them in an appropriate manner.


  • General (duties shared with rest of Admin Team):
  • Help with providing reception & telephone cover during absences (holiday, sickness, lunch etc).
  • Assisting clients and visitors with all requests.
  • General administration duties including typing, photocopying, folding of drawings, filing, archiving etc.

  • Requirements:
  • Ability to work under pressure, to tight deadlines, multitask and to prioritise a varying workload.
  • Excellent telephone manner.
  • Good IT skills, including Word and Excel.
  • Willingness to learn.
  • Industry experience would be beneficial but not essential.
  • DBS Checks may be required

  • This role is fully office based - Mon to Fri 8am to 5pm - parking on site
  • £24,000 - £25,000
  • 25 days annual leave plus 8 days bank holidays
