Job description

Facilities Management Assistant City - £30,000 to £35,000 our client is a popular surveyors and property management company who look after a broad range of commercial buildings in London. The position is in their Facilities department where you will be helping to proactively and efficiently deal with the day to day management of all commercially managed buildings working alongside the Facilities Manager.

Key responsibilities:

  • Monitor the shared inbox, dealing with reactive maintenance issues and general correspondence from tenants and contractors promptly.
  • Raise work orders for reactive maintenance; monitor completion of work and communicate with tenants.
  • Ensure tenant details are up to date by liaising with front of house in manned buildings.
  • Plan, collate and review LOLER inspection reports and forward to relevant lift maintenance provider for action, ensuring in-house Property/Facilities Managers are kept informed.
  • Arranging annual fire drills for managed buildings, coordinating with designated contractors and tenants.
  • Reviewing evacuation reports for mixed-use buildings addressing issues raised and assisting with preparation of emergency response plans and procedures.
  • Reviewing fire and H&S risk assessments, obtaining quotes and liaising with Property/Facilities Manager before instructing and completing on the system.
  • Oversee upkeep of facilities, including health and safety, maintenance, cleanliness and security.

Experience Required:

  • Current/recent experience in facilities management
  • Basic understanding of building systems and infrastructure (HVAC, electrical, plumbing) desirable
  • CAFM (Computer Aided Facility Management) preferred but not essential
  • Strong problem-solving skills and the ability to handle unexpected situations effectively
  • Proven experience of multitasking and managing multiple priorities in a similar role
  • Strong attention to detail, ability to work to deadlines and sometimes under pressure
  • Proactive and flexible working attitude
  • Good teamwork and interpersonal skills
  • Excellent customer service and communication skills including building good relationships with tenants and providing assistance as needed.
