Job description

We have an exciting opportunity for a File Review Executive, to join a leading law firm with offices in London and the South East. The firm operates a hybrid working policy from either of it's offices.

The Role:

In this role you will assist with conducting File Reviews in accordance with the requirements of the firms accreditations working. You will be involved in the maintenance of the firm s other accreditations, certifications and preparations for audits/assessments.

Role Responsibilities:

The client is required to conduct regular, independent file reviews on all active matters of the management of the file. you will be responsible for conducting these file reviews, which will include:

  • Determining the frequency of reviews on specific matter types (e.g. based on risk profile of a matter).
  • Determining the stage at which to review specific matter types.
  • Selecting the matters for review each month.
  • Conducting the reviews and itemising any corrective actions.
  • Liaising with the appropriate Fee Earners to ensure they complete the corrective actions.
  • Maintaining appropriate records of all file reviews, corrective actions etc.
  • Providing reports of any outstanding corrective actions to the Head of Risk & Compliance.
  • Providing reports on any frequently encountered issues that may require further training.
  • Liaising with the appropriate teams to arrange any training that may be needed.

You will assist the Accreditation and Best Practice Manager in maintaining and preparing for the firm s regular audits/assessments as follows:
  • General administrative tasks such as paper filing, electronic filing (profiling), scanning and archiving.
  • Reviewing policies and processes where appropriate.
  • Liaising with the appropriate teams to collate any appropriate documentation.
  • Maintaining accurate records that need to be presented to auditors/assessors.
  • Any additional administration support that may be needed to maintain these accreditations.
Experience / Skills
  • 3+ years in a PA/Legal Secretarial, Paralegal or File Review role
  • Excellent attention to detail and accuracy.
  • Reliable and adaptable team player with the ability to work well under pressure.
  • Self-motivated and proactive with a can do attitude.
  • Able to work on own initiative.
  • Able to prioritise and organise.
  • Professional and confident telephone manner.
  • Good communication and interpersonal skills comfortable dealing with staff at all levels.
