Office Manager

Location: Peckham Rye, London

Salary: £30,000 per annum

The Role

The company are seeking an experienced office manager to ensure the smooth running of many services involving overseeing key operational functions through efficient management of administrative tasks, include stakeholder management, data management, and processing referrals from the initial point of entry through to client discharge.

The service is a pioneering early-intervention mental health service delivered by the Trust on behalf of Southwark Council. Since opening in May 2020, it has provided an open access service to improve the mental wellbeing of children and young people, and their families across the London Borough of Southwark. Supporting an average of 200+ young people each year, The service is now firmly embedded within the wider offer of mental health support available for young people in the borough, with referrals to the service coming directly from young people themselves, as well as their families and professionals from a multitude of services.

Main Objectives:

  • Manage referrals, the waitlist with stakeholders (i.e., CYP, parents/carers, referrers, professionals) ensuring timely follow-ups and communications
  • Ensure a smooth and efficient allocation of clients to therapeutic practitioners across services
  • Manage and maintain office systems, including the referral and client management information (MI) system
  • Support the on boarding of staff and volunteers by liaising with the HR team
  • Effectively signpost stakeholders to appropriate services, where appropriate completing or assisting with onward referral forms
  • Maintain a high standard of monitoring, evaluation and reporting on the service outcomes to ensure young people receive a quality service
  • Compliance check that staff are adhering to relevant policies and case management procedures.
  • Provide administrative support to the service, including covering ad-hoc enquiries received over the telephone, in-person and via email
  • Take initiative in matters of client confidentiality and safety, ensuring all client information held is up to date and accurate
  • Have a warm, empathic and young-person centred approach to work
  • Excellent written and verbal communication skills, possessing the ability to, at times, have challenging conversations with young people, their families and other professionals
  • Must be able to work on own initiative and prioritise time and tasks effectively

Skills and Qualifications

  • Experience of office administration and/or providing administrative support to a team of people
  • Previous experience of using and managing monitoring and quality management systems
  • Knowledge and understanding of the barriers and challenges facing children and young people who are seeking support for their mental wellbeing
  • Excellent verbal communication and interpersonal skills, and the ability to communicate effectively with people at all levels
  • Sound knowledge of Safeguarding, including Prevent, the ability to follow procedures and also contribute to the development of a culture of safe practice
  • An excellent telephone manner and the ability to speak to people from a variety of backgrounds in an empathic and supportive manner
