JOB OVERVIEW
A fully dedicated account resource working as part of an innovative workplace team.
The role provides services related to the maintenance of AutoCAD drawings and Real Estate data. They are responsible for the management of drawings and data within the active workplace platforms: IWMS, space booking and the security platform.

A key focus is the alignment of data across these platforms as a result of MAC, project work and organisational changes, to deliver accurate data and drawings within the assigned portfolio.
The principle responsibility of the role is to ensure the accuracy of site portfolio drawings, space booking and badge data to maintain a single source of truth
to support future workplace MAC/fit-out projects and strategic estate decisions.
The role will maintain the office portfolio library of AutoCAD architectural drawings. The role will liaise with both internal and external designers/project managers ensuring accurate ongoing property changes associated with refurbishment and space planning projects are provided in the required AutoCAD format and standards to enable drawing management to be updated via a controlled approval process.
The role will have responsibility for the maintenance and development of the Integrated Workplace Management System
(IWMS) to ensure accurate up to date electronic space plans are available to enable production of key management information reporting relating to the occupation of property throughout the estate within the UK.
Main DutiesThe role requires the holder to maintain both the "as-built" drawings and space management databases to meet a variety of internal and external requests ranging from area/occupancy and workstation data to drawing requests from architects & project managers involved with major refurbishment projects. The role also requires the holder to be responsible for the conurbation configuration of the space booking system and security system, including floorplan and space data uploads and floor activity. The role will capture space requests and update the space booking and security platforms in line with these, documenting the changes made. This will involve:

  • Maintenance of drawings and space data within client's IWMS, Space Booking and Security System
  • Document changes to layout, design & occupancy plans for front and back of house facilities
  • Manage space data in sensor, booking and security platforms, support Integration of data sources
  • AutoCAD support for ongoing maintenance of these platforms
  • Manage a robust process to capture estate changes across workplace platforms
  • Assist with the provision of utilisation and occupancy reports
  • Standardise and maintain Estate Drawings
  • Support or develop any Group Drawings Standards to ensure effective AutoCAD functionality
  • Ensure adherence to Group Drawing Standards with new As-Built drawings in client's IWMS platform, including p-line, space numbering and space categorisation

REQUIRED KNOWLEDGE AND SKILLS
  • Work experience in space occupancy management and/or space planning; or interior office planning, in a workplace transformation environment
  • Detailed knowledge of AutoCAD with the ability to identify and resolve any complex issues
  • Experience using an IWMS - space planning using CAD systems is essential (i.e. Accordant, Archibus, Serraview, Manhattan, Tririga or similar prior knowledge)
  • Knowledge of the interface between CAD Drawing tools and Property database systems
  • Experience in measuring and layering space drawings in line with the RICS code of practice and professional standards, and HESA (Hospitals, schools, universities and colleges)
  • Able to produce accurate estate reports relating to space utilisation and occupancy
  • Able to produce high quality accurate reports and articulate information clearly and concisely.
    Familiarity with Power Bi
  • Proficiency in MS Excel
  • Excellent organising and planning skills with the ability to organise own workload in a logical and methodical way to prioritise and meet/exceed SLAs
