Position Information Posting Number S Job Title Administrative Assistant I Part-time Position Number TBD Division Enrollment Management - DEM Department Veterans and Military Affairs FLSA Non-Exempt Salary Grade 104 Salary Classification Classified Annual Salary Range Hourly Salary Range $9.62 - $11.90 Employment Status Full Time 12 Mos Regular General Description The purpose of this position is to provide office administrative support for the Veteran and Military Affairs department and to assist with departmental events and programs. Essential Job Duties 1. Assist with the dissemination of general information regarding Veteran benefits and/or services 2. Provide assistance to students and parents with general inquiries about Veteran benefits via phone, email, or in person; 3. Maintain and organize related files; 4. Assist in the processing of accurate and timely enrollments as Veteran Affairs SCO (School Certifying Official) certifications for all Veteran Affairs educational entitlement programs; 5. Assist with maintaining regulatory, information security, and confidentiality compliance in accordance with federal, state, and UM guidelines; 6. Assist with providing support and consultation for veterans' related issues on campus (transition assistance); 7. Assist with maintaining positive relationships with key offices in order to facilitate services to students receiving veterans-related educational benefits; 8. Assist with maintaining accurate and current information in related UM informational systems; 9. Assist with the reporting of student enrollment information, due process, approved programs, tuition/fees, and contact information; 10. Assist with the development and distribution of accurate and current Veteran Affairs office publications to relevant constituencies (brochures, flyers, posters, web content); 11. Assist with the facilitation of scholarships for students receiving veteran's entitlements, as needed; 12. Office administration responsibilities, as assigned; 13. Manage work study students' training, interviewing, schedules, contracts, approving timesheets, and tasks; 14. Participate in UM's Student Life group Campus Veteran Association (CVA); 15. Contribute to UM's VMA social media platforms. Additional Duties Essential Job Duties are intended to be examples of duties and are not intended to be all-inclusive. Knowledge, Skills and Abilities Knowledge in MS Excel, MS Word, Outlook, and database skills; Strong writing and editing skills; Well organized and detail oriented; Ability to communicate well with all constituents, on and off campus; Customer service orientation; Ability to perform multiple tasks simultaneously; Ability to operate office equipment including copiers, printers, and facsimiles; Experience answering multi-line phone systems; Knowledge of Web design and/or graphics arts skills; Experience with Banner software. Education and Experience The educational requirement for this position is: High School diploma/GED Education substituted for experience? Yes This position requires 1 year of related experience. Experience as an administrative assistant or receptionist in a medical or mental health practice is strongly preferred. Experience substituted for education?
