Description

Perform general office duties and recurring assignments independently for the SPF-PFS Grant. Aid and support to the Prevention Director and other personnel staff as assigned.

Qualifications

High school diploma or GED. Two years of administrative/business office experience is required. Must have general knowledge and experience with Microsoft Office programs including Outlook, Word, Excel, and PowerPoint, and ability to use social media platforms. Skills should include the ability to create, utilize, monitor/update, and share spreadsheets, word documents, and slides. Strong organizational skills, multi-tasking, problem-solving, prioritization, and ability to work with diverse groups of individuals/professionals.

Physical and Mental Requirements

Sedentary Work: Sedentary Work involves exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods. Jobs may be defined as Sedentary when walking and standing are required only occasionally and all other Sedentary criteria are met.

The minimum requirements of this position require this individual to:

• Hear alarms/telephone/normal speaking voice

• Manual dexterity to operate a computer keyboard

• Have clarity of vision with/without corrective lenses

This position is considered Safety Sensitive under applicable Arkansas laws pertaining to the use of marijuana for medicinal purposes. This position includes as part of the job duties performing life-threatening procedures and regularly working with controlled substances, foods, medicine and highly sensitive and confidential medical information. This position is one in which a lapse of attention could result in injury, illness, or death. For the safety of the employee and others, the employee must be able to work in a constant state of alertness and concentrate for long periods of time while performing life-threatening procedures and working with controlled substances, foods, medicine and confidential medical information.

• Must provide and use personal transportation for occasional travel

• Valid current driver's license

• Must maintain current automobile insurance coverage at all times

• Have and maintain clean motor vehicle report

• Sex offender registry clearance

• Availability to work as scheduled during normal hours of operation 40 hours a week.

• Ability to work a flexible schedule if there is a need to work overtime, after hours, or weekends.

• Maintain HIPAA privacy requirements and confidentiality

• Must be able to treat ALL people with respect and courtesy without bias or discrimination

Position funded in whole by external grant and subject to termination if grant funding ceases.

Requirements:

  • Remain informed and current with the SPF-PFS Grant and the following: -NOFO and grant purpose -Grant goals, strategies, and desired outcomes -Reporting due dates -Grant budget sections and coding
  • Provide technical assistance and support to the Prevention Director and other grant personnel to: Goal 1. Establish partnerships at the state level and with various community levels to increase awareness about prevention. Goal 2: Develop and implement a community-led Union County Prevention Plan to address the Social Determinant of Health, social and community context, by providing comprehensive prevention services to reduce the onset of SUD, substance-related criminal activity, behavioral and mental health problems, and other related problems associated with substance use and abuse.
  • Be familiar with the grant's 12-Month Action Plan (Work Plan). Aid in strategy implementation to reach desired outcomes.
  • Assist the Prevention Director in planning, scheduling, coordinating activities/events, maintaining contacts, recruiting volunteers, organizing, event set-up and tear-down, etc.
  • Develop and maintain contact lists for core partner representatives at SARH, NewHaven, and 100 Families. Assist in collecting and documenting MOUs with each partner.
  • Develop and maintain contact lists for all partners to document recruiting efforts, services, agreements, volunteer activities, referrals, actual services provided, demographics, and more.
  • Assist the Prevention Director, Data Analyst, and Recovery Coordinator in developing various tracking methods to monitor, document, and report the demographics of individuals served.
  • Send meeting invitations and reminders to partners, record meeting minutes, monitor attendance and volunteer hours.
  • Ensure the Needs Assessment is on schedule according to the grant proposal and 12-Month Action Plan. Assist in its development, marketing, implementation, administration, and data collection.
  • Create and utilize proper data collection tools to track, monitor, and submit reports as required by the grant. Provide ongoing support to Data Analyst for data collection.
  • Assist the Prevention Director in compiling data for monthly board reports, quarterly reports, and annual reports.
  • Assist in a multi-media marketing campaign by contacting vendors, quotes, invoices, processing payments, etc.
  • Assist with other duties as assigned.
