How you make a difference:
The Administrative Assistant is responsible for tasks such as scheduling appointments, screening calls, and preparing reports to ensure that the facility operates smoothly and efficiently. Additionally, the Administrative Assistant may be responsible for managing correspondence, maintaining records, and assisting with HR functions, among other duties as assigned by the Facility Administrator and Department Heads.

Key Responsibilities:
Handle incoming calls, greet visitors, and coordinate with referring agencies and clinical teams.

Organize calendars, maintain inventory and maintenance software systems, and manage regulatory documentation.

Maintain an organized file system for meeting minutes, policies, and client care documentation.

Coordinate admissions and discharges, review paperwork, and assign rooms.

Adhere to behavioral health compliance standards and maintain contract information for contracted services.

Qualifications & Requirements:
Education

High School Diploma AND three (3) years of progressively responsible experience in developing purchasing documents and/ or coordinating of administrative duties and tasks;

Or Bachelor's degree from an accredited U.S. college or university, or certified foreign studies equivalency in business administration or closely related field AND one (1) year of progressively responsible experience in developing purchasing documents and/ or coordinating of administrative duties and tasks.

Experience

Minimum of 1 year of experience in an administrative support role (required).

Experience in mental health administration, Title IX Regulations, CARF and/or other governing bodies related to hospital care (preferred).
