THE IMPACT YOU CAN HAVE:
As a DC Administrative Coordinator at Ulta Beauty, you will be tasked with handling Center supply purchasing and negotiation through careful analysis and the frequent use of initiative and independent judgment. Because you may be executing contracts of a sensitive, complex and sometimes confidential nature both inside and outside the company, a high degree of professionalism and confidentiality is a must. In this role, you will have a direct influence on Ulta Beauty's bottom line by securing the best possible services at the most competitive prices, while developing strong and mutually-beneficial vendor relationships.
You will accomplish these goals by:
Making all purchases of DC corrugated, operating supplies, packaging, janitorial services, etc.
Handling all invoice verification for all DC expenditures, including receiving and coding invoices, tracking invoices in SAP and reporting period accruals
Following-up on warehouse purchases of supplies and supply inventories by setting up controls, tracking and reporting for employee-based equipment usage and replenishment
Assisting in conducting DC new hire orientations and issuing necessary supplies
Serving as a first-line of contact or liaison between DC employees and HR/Payroll staff
Coordinating reward and recognition events for DC employees
Maintaining our database and issuing all DC new hire badges/replacement badges
Supporting DC Management with daily tasks, including timekeeping, mail, expense reports, vacation schedules, reports and related duties
Providing UPS support functions, such as handling and shipping expedites, reporting and tracking expedite shipments and vendor charge-backs
Ordering/maintaining the inventory of warehouse supplies
Monitoring the recycle program and ensure supplies, trailers and compactors are accessible and ready for use
Creating DC communications and postings
Serving as a backup for the DC HR Specialist when needed
Maintaining the DC Certification Tracking spreadsheet
Special projects and other duties as assigned

THE ESSENTIALS FOR SUCCESS:
Qualified candidates will be customer service-oriented professionals who possess a high school diploma or GED or an equivalent combination of education and related experience, with strong time management, organizational and multi-tasking skills to meet firm deadlines with minimal oversight. Additional requirements include:
The ability to negotiate pricing and suggest creative deal buys gained through demonstrated purchasing and inventory control experience
Proficiency with MS Office (Word, Excel and Access)
The ability to maintain confidentiality and work well independently with minimal supervision
Excellent written/verbal communication skills
The ability to safely lift and/or move boxes, product or equipment weighing up to 50 pounds
Previous SAP experience is preferred, but not required

The pay range for this position is $25.00 - $26.50 / Hour. Exact pay will be based on factors including, but not limited to relevant education, qualifications, certifications, experience, level, shift, geographic location, and business and organizational needs. Eligible associates may also earn overtime pay as required by applicable law. Full-time positions are eligible for paid time off, health, dental, vision, life, and disability benefits.
