JOB SUMMARY:

Performs a variety of legal secretarial duties as well as paralegal related tasks under the supervision of an attorney and Business Legal Operations Supervisor. Secretarial duties may include but are not limited to: maintaining attorney calendar by planning and scheduling conferences, teleconferences, depositions, travel, and court appearance dates, etc. Also responsible for opening and closing of case files. Role may have annual billing requirements based on full time work week.

Core job duties & responsibilities:

Keeps cases organized by establishing and organizing files; processing voluminous mail and faxes; monitoring calendars; meeting deadlines; documenting action; inputting information into matter management system; and confirming case status with attorney.

Helps develop cases by maintaining contact with people involved in the case; drafting discovery requests and responses; coordinating record retrieval; drafting and forwarding legal pleadings, briefs, correspondence, memoranda, reports, discovery notices, depositions, jury instructions, subpoenas (as necessary) responses and motions.

Prepares matters for trial proceedings by preparing exhibits; scheduling witnesses; ensuring that witnesses are ready when needed. May attend interviews/meeting with clients and/or witnesses as necessary to ensure proper case development. Coordinates and schedules depositions, hearings, motions, arbitrations, mediations, judicial conferences, meeting with clients, doctors and other counsel for assigned attorney. Has working knowledge of each file assigned to attorney(s); knows the matter and parties involved basic facts; knows the status of pleadings and discovery, and mediation/arbitration or trial status. Understands and maintains confidentiality in respect to the attorney-client relationship, HIPAA, trial strategies, Ethics rules, and the identities of plaintiff, defense clients and claims. Ability to review, analyze and/or summarize medical records and/or written discovery responses in order to prepare a condensed report for evaluation by the attorney and claims representative.

Performs other duties as assigned.

Minimum Job Requirements:

Education:

Undergraduate studies in business administration, insurance or other related area as well as legal secretarial training preferred. Certification in paralegal studies or equivalent experience highly valued.

Experience: Three years of experience as a legal secretary or a paralegal in a law office or experience in insurance defense litigation.

Knowledge:

General law office operations practice and procedures engaged in the practice of civil litigation. Strong understanding in legal concepts, terminology and processes as well as general working knowledge of filing procedures of relevant courts and administrative agencies.

Skills/Competencies: Verbal and written communication skills for contact with employees, attorneys, clients and customers. Research and legal administration skills; organization, planning, attention to detail, and confidentiality; ability to operate personal computer and related legal and business software.
