Position Summary

The Receptionist will be a trusted team member providing care to our patients and a trusted partner to the clinical team, center staff, and the Executive Leadership team.

Responsibilities

Greeting and Registration

Welcome patients, visitors, and vendors in a friendly and professional manner.

Check-in patients, verify and update personal and insurance information.

Direct patients to appropriate departments or staff members.

Appointment Scheduling

Schedule, reschedule, and cancel patient appointments using electronic medical record (EMR) systems.

Send appointment reminders and follow-up communications.

Communication

Answer and manage incoming calls, emails, and faxes promptly.

Relay messages accurately to appropriate healthcare personnel.

Provide information about services, policies, and procedures.

Administrative Duties

Manage patient records ensuring confidentiality and compliance with HIPAA regulations.

Process insurance claims and handle billing inquiries.

Collect and record patient payments and co-pays.

Office Maintenance:

Ensure the reception area is clean, organized, and presentable.

Maintain office supplies and order new stock as needed.

Patient Support

Assist patients with forms and documentation.

Provide information about wait times and ensure patients are comfortable while waiting.

Collaboration

Work closely with healthcare providers and administrative staff to coordinate patient care.

Assist with special projects and other duties as assigned.

Qualifications

High school diploma or equivalent; additional education in healthcare administration or related field is a plus.

Proven experience as a receptionist, preferably in a healthcare setting.

Proficient in using EMR systems and office software (e.g., Microsoft Office Suite).

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Knowledge of medical terminology and insurance processes is an advantage.

Ability to handle sensitive information with confidentiality and professionalism.
