Position Title: Program Assistant - Adolescent Mental Health Facility
Location: Malibu, CA

Job Type: Full-Time/Part-Time

Reports To: Program Coordinator/Clinical Director

Position Overview:

The Program Assistant plays a critical role in supporting the daily operations of our adolescent mental health programs. This position provides administrative and programmatic support to ensure the smooth functioning of our services. The Program Assistant works closely with clinical staff, program coordinators, and adolescents to maintain a safe, supportive, and organized environment for therapeutic interventions.

Key Responsibilities:

Administrative Support:

Assist with scheduling and coordinating therapy sessions, group activities, and appointments.

Manage and update client records, ensuring all documentation is accurate and confidential.

Prepare and distribute program materials (worksheets, manuals, etc.) for therapy sessions and group activities.

Track attendance, incident reports, and program participation data.

Program Coordination:

Assist in organizing and facilitating group activities, workshops, and events for adolescents.

Support the implementation of therapeutic programs by setting up necessary materials and equipment.

Liaise with parents/guardians and clinical staff to communicate updates, reminders, and program changes.

Client Interaction:

Provide direct assistance to adolescents as needed, including offering encouragement, guidance, and emotional support under the supervision of clinical staff.

Monitor the behavior and well-being of adolescents during activities and report any concerns to clinical staff.

Assist in de-escalating situations when adolescents experience emotional distress.

Facility Management:

Maintain program areas, ensuring spaces are clean, organized, and properly equipped.

Manage inventory of supplies and order replacements as needed.

Ensure safety protocols are followed, including emergency procedures, safety drills, and maintaining secure environments for staff and clients.

Qualifications:

High school diploma or equivalent (required); Associate's or Bachelor's degree in psychology, social work, or a related field (preferred).

Previous experience working with adolescents, particularly in mental health or educational settings (preferred).

Strong organizational and time-management skills.

Excellent verbal and written communication skills.

Ability to work collaboratively as part of a multidisciplinary team.

Compassionate, patient, and committed to supporting the emotional well-being of adolescents.

Basic proficiency with Microsoft Office Suite and client management software (preferred).

Must have an active Live Scan, or obtain one before working

Working Conditions:

Ability to work flexible hours, including evenings and weekends, depending on program needs.

Comfortable working in emotionally challenging environments.

Must pass a background check and be able to comply with all facility safety and health protocols.
