Description

  • Experience Level: 3-5 years Greets vendors, customers, job applicants and other visitors, and arranges for transportation services, when needed.

  • May operate a switchboard to route incoming calls and place outgoing calls.

  • Requires a high school diploma or its equivalent with experience in the field or in a related area.

  • Has knowledge of commonly used concepts, practices, and procedures within a particular field.

  • Relies on instructions and pre-established guidelines to perform the functions of the job.

  • Works under immediate supervision. Primary job functions do not typically require exercising independent judgment.

  • Typically reports to a supervisor or manager.

    Key Responsibilities:

  • Provide continuous coverage for the front desk. Greet visitors and notify personnel of visitor arrival.

  • Monitor employee and visitor flow in and out of buildings.

  • Maintain security requirements by ensuring visitors sign into electronic visitor kiosk and by distributing guest badges.

  • Cover other receptionist lunch breaks as required.

  • Pre-register guests using visitor system tool

  • Ensure that unauthorized individuals are not granted access to buildings.

  • Ensure that employees are using proper access badges.

  • Alert Security or Workplace staff of any disturbances or potentially dangerous situations.

  • Maintain professional appearance of building lobby or reception area.

  • Receive and route all deliveries at the front desk. Interact with vendors, couriers and delivery personnel.

    Contact appropriate employees to accept deliveries.

  • Assist with ticket reporting and event tracking

  • Assist with departmental purchases, payment and tracking as it pertains to vendors

  • Provide information on all available types of spaces and amenities, technology and services offered at client locations

  • Assist with conference room bookings and set up.

  • May assist Workplace staff with event support and event calendar.

  • Partnership on ideas for the best onsite experience

  • Other tasks as assigned

    Customer and employee support:

  • Answer inquiries directly or direct to appropriate employee.

  • Communicate with employees on site-specific issues

  • Provide friendly and helpful support in person as well as via Slack and email

  • Act as point of contact in case of an emergency or disaster, coordinating with Workplace staff

  • May be required to create and regularly update internal web pages and Slack Channels

    Minimum qualifications and requirements:

  • High School diploma or equivalent

  • Experience with vendor management, corporate security and safety programs a plus

  • Experience with maintainingctivating employee visitor badges

  • Excellent oral and written skills and proficiency with all Microsoft Office applications is required

  • Regular attendance and punctuality
