Responsibilities:
SENIOR ADMINISTRATIVE ASSISTANT
THE ROLE:
Within the Artificial Intelligence Group (AIG), we are seeking an experienced Administrative Assistant to support the ACE and ACS Engineering teams located in San Jose, Ca, reporting to the Corporate VP, Engineering.
THE PERSON:
The role requires you to be experienced in providing administrative and project support to a dynamic team in a fast-paced environment. The culture of AIG requires close collaboration, willingness to share ideas, and openness to jump in and support other admins when needed. As an administrative professional, the ability to work on multiple diverse projects and tasks that support the AIG team will be required. The ideal candidate will bring a blend of professionalism, expertise, passion, and flexibility to the role.
KEY RESPONSIBILITIES:
Senior-level administrative support including heavy calendaring and meeting arrangements, travel coordination, data processing, expense reporting, meeting management, etc.
Act as a point of contact for the Executive and the Team.
Coordinate and arrange international and domestic travel and accommodation
Organize functional team events (group meetings, offsites, all-hands, celebrations, etc.), facilitating communication with in-house and external contacts to ensure success.
Arrange all offsite lunches and dinner meetings and order all catering for appropriate meetings.
Submit expense reports in a timely fashion
Attend VP staff meetings and track action items from the meeting and follow through
Manage group SharePoint sites and Confluence pages
Prepare and submit Purchase Orders, payments, etc
Coordinate and track key organization data (budget, travel, equipment, etc.).
Maintain inventory of departmental supplies and computing resources
Coordinate with IT and Facilities departments as needed.
Understand that work is generally of a time-sensitive or confidential nature.
Assist with special projects as assigned.
Collaborate with different levels of management, team members, and external clients if needed
PREFERRED EXPERIENCE:
Relevant administrative experience (experience in supporting Senior level Executives)
Proficient in Microsoft Office applications including Outlook, Word, PowerPoint, Excel, and SharePoint, with a heavy emphasis on calendar management.
Discretion and confidentiality
Strong multi-tasking skills and ability to make judgments and initiative with flexibility and responsiveness.
Excellent customer service and composure under pressure. Ability to work independently and as a team player.
Experience working in a high-paced technology company with a globally diverse, population.
Strong organizational skills, detail-oriented, ability to multitask and prioritize multiple projects promptly.
Effective written and verbal communication skills with co-workers, clients, and customers at all levels.
Demonstrated ability to partner well with others and build strong, effective relationships.
ACADEMIC CREDENTIALS:
Bachelor's Degree or equivalent level of experience
