What you get to do in this role:

Support to VP

Assist our CCO's (Chief Customer Officer) executive assistant with his expense reports

Assist in the CCO office as needed (administrative tasks, spreadsheets, email invites)

Schedule appointments, plan meetings, and maintain complex and changing calendars, while working through scheduling roadblocks.

Draft and prepare routine and advanced correspondence including emails, presentations and reports. Review outgoing correspondence for accuracy, format consistency, signatures and conformance with executive procedures.

Assist leadership and organizations by optimizing usage of time. Make decisions regarding short-term priorities and work activities.

Arrange all travel to ensure consistency within company procedures and support organization in obtaining necessary travel documents including Visa/passport, while maintaining Leadership expenses/credit card reconciliation.

Identify issues within the organization and initiate or facilitate solutions.

Assist internal departments with the setup of new hires.

Assist new hires with processes including expense reporting and travel systems and other internal processes and tools. Compile, prepare and process Leadership expenses and credit card reconciliation where needed.

Based on the job description, what are the must have non-negotiable items that a candidate must have to be successful in this role?

Must be willing to be onsite (2 days a week potentially travel to Santa Clara and Pleasanton office for VP support), they have to have experience at the SVP level and be able to multi-task.

Be willing to be on-site to support the VP as needed. Experience at the VP/SVP level would be great.

Willing to multi-task and be a team player.

Does this position have the opportunity to extend beyond the initial contract or convert to FTE?- Yes. Based on performance and headcount.

What is the work schedule for this position?- Full time. Some overtime will be needed to connect early or late. Standard 8am-5pm PST but OT as needed.

What will the interview process look like? 2 rounds - Me and then with VP

To be successful in this role you have:

10+ years experience supporting SVP level (C-Suite experience is a plus)

Support a large org (400+)

Highly organized with exceptional communication skills and ability to manage a variety of high priority projects from multiple management and professional levels

Desire to grow and take on your own projects

Professional demeanor and soft-skills

Positive and personable can-do attitude

Proficient in Zoom, Microsoft Office suites (Word, Excel, PowerPoint, Outlook), Box, Concur and Google Docs

Experience handling confidential materials
