Job description

We are looking for a highly organized and proactive Administrative Assistant to be a part of our growing team. This crucial role will provide support to the leadership team, help to ensure smooth office operations and provide dependable human resources support to our HR Department. The ideal candidate will professionally and efficiently manage all incoming calls, schedule service appointments, and offer comprehensive administrative assistance to the team. Additionally, this position involves a wide range of HR duties, including special projects, recruiting, hiring, and onboarding for multiple expanding locations.



Roles and Responsibilities:

  • Manages and directs all incoming calls professionally and efficiently.
  • Handles the scheduling of all service calls, ensuring timely and organized appointments.
  • Provide administrative support to drive efficient and effective operations.
  • Maintains office equipment, stock kitchen and office supplies, maintain mail distributions and check deposits.
  • Plans and organizes company monthly lunches and frequent employee morale events.
  • Maintains records, documentation, and files, particularly more complex or sensitive files such as employee files.
  • Assists with preparation of policy and procedural documents, job descriptions, organizational charts, and employee handbooks.
  • Manage tracking and compliance for mandatory and non-mandatory training.
  • Recruits, interviews, and facilitates the hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.
  • Manage special projects assisting with HR process and procedure improvements and implementations.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment laws.
  • Performs other duties as assigned.

  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organization's HRIS and talent management systems.
  • Experience using Paylocity a plus.

Education and Experience:

  • Associate's degree in business or equivalent experience
  • At least one year of human resource management experience is preferred.


Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization's facilities.
