Job description

CFS is partnering with a local Non-Profit to find their next Administrative & Grant Coordinator provides a high-level of administrative support to the Chief Advancement Officer (CAO) and performs clerical functions such as preparing correspondence, scheduling meetings and handling all administrative functions. Additionally, will play a crucial role in tracking grant application deadlines, submission requirements, and reporting obligations and oversee the Customer Relations Management (CRM) database in conjunction with the CAO.

Essential Job Functions of Grant Coordinator:

Support of Advancement Department

  • Manage and maintain CAO's schedule and calendar.
  • Maintain and update donor information in the CRM system.
  • Enter donations into CRM.
  • Generate and send donor acknowledgment letters in a timely manner.
  • Generate donor reports using CRM system and analyze data related to donor activities and fundraising efforts.
  • Utilize strong Excel skills to create reports and analyze data related to donor activities and fundraising efforts.
  • Open, sort, and distribute incoming mail.
  • Assist with organization of events.
  • Prepare correspondence, letters, memos, and other documents as needed.
  • Prepare agendas and make arrangements for catering as necessary for committees and board meetings, take minutes at meetings, and transcribe for distribution.
  • Assist in managing the organization's social media accounts by scheduling posts and tracking engagement metrics.
  • Conduct research, compiles data, and prepares reports for consideration and presentations.
  • Perform other duties as assigned.

Grant Coordination

Tracking

  • Monitor and track all grant application deadlines, status updates, and reporting requirements.

Application Submission

  • Responsible for compiling and submitting complete grant applications, including all necessary documents and forms required for each application.
  • Assist in writing and proofreading grant applications.

Monitoring and Evaluation

  • Coordinate the evaluation process for programs and projects funded by grants, ensuring that objectives are met within specified timelines.
  • Gathers information for OVS site visits and CCADV Standards.

Documentation and Record-keeping

  • Develop and maintain master files on all grants, including all paperwork connected to programs and projects funded by grants.

Research

  • Research new grant opportunities and check eligibility before applying for the grants.

Qualifications of Grant Coordinator:

  • Strong proficiency in MS Office 365.
  • Background in administrative functions.
  • Attention to detail and strong organizational skills.
  • Ability to maintain a professional attitude and relationships.
  • Ability to maintain the utmost confidentiality of all information, material and correspondence.
  • Demonstrated ability to work in a fast-paced, changing environment.
  • Strong written, oral and interpersonal communication skills.
  • Knowledge of social media platforms and content creation for Facebook, Instagram, X and LinkedIn
  • Ability to use logic and reasoning to identify solutions and approaches to problems.
  • Ability to make good judgments and decisions relating to day-to-day activities.
  • Demonstrated flexibility, agility, adaptability and ability to multi-task.
