Responsibilities of Business Manager:

  • Assist and oversee all functions of the Administrative Support
  • Ensure proper front desk staffing coverage needs are met at all
  • Ensure all clients are greeted courteously, seen in a timely manner and in accordance with agency determined protocol.
  • Handle all client-related matters in a timely, efficient, and courteous
  • Ensure that all involved staff contribute and actively participate in maintaining current and accurate client information and outcome databases.
  • Oversee support staff to verify that all incoming calls are answered appropriately, courteously and either forwarded to the proper individual or a detailed message is
  • Verify that all crisis calls are routed in a timely manner to the appropriate
  • Work with support staff to ensure that referral information follows the appropriate triage protocol established by the clinical team.
  • Set up, authorize and properly document client clinical service fee agreements as Oversee Open Access guidelines for first time appointments ensuring that all information is obtained from client/family at orientation, insurance has been verified and family has been assigned to a clinician in a timely manner.
  • Ensure that proper service billing procedures are followed including the reconciliation of progress note to encounter form, accurate and timely entering of billable services into computer system and the reconciliation of encounter forms to actual billed services.
  • Review charges from all programs on a daily basis to ensure the accuracy of all entries prior to actual billing.
  • Work with clinicians to ensure any billing related matters are rectified as quickly as
  • Ensure the maintenance of an organized readily accessible closed case file system including assuming responsibility of the annual shred process.
  • Assist with 3rd party billing, collections, authorization and registration process as needed with Administrative Operations Manager.
  • Oversee support of medical staff schedules and needs to ensure their work day is effective to allow for maximum productivity.
