Job description


A non-profit with a mission to increase minority education, that has been active for over 70 years, is looking for a Head of Administration who will coordinate the Executive Assistants supporting the Office of the President. The role reports to the Chief of Staff.




About the Job:


Assist the Chief of Staff with the creation and implementation of standard operating procedures and processes for the effective and efficient execution of administrative support in the Office of the President


Manage the administrative team responsible for coordinating the President / CEOs and COOs travel arrangements, travel itineraries and daily schedules. Exercises discretion in committing time and evaluating the executive s needs.


Assist the Chief of Staff with budget management for the Office of the President and manage the administrate team responsible for processing invoices, contracts, and expenditures in a timely manner


Ensure meetings are properly arranged with detailed agendas, necessary materials and essential equipment


Collaborate with the Chief of Staff and Leadership Team creating briefings by gathering relevant information, organizing content, and ensuring that the President & CEO and the COO are properly prepared to address executive matters


Assist the Chief of Staff with the planning and execution of special projects and events


C onduct research, assembling and analyzing data to prepare reports and documents


Provide guidance and training to support staff, monitors completion of assignments, tracks activities


Train and supervise three or more non-supervisory employees



About You:


Minimum of 10 years of experience in a related support position


BA/BS from a college or university


Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook), Concur, Blackbaud, and ADP


Dynamic and proactive comfortable in a fast-paced environment.


Polished, professional demeanor


Proactive go-getter; no task is too big or too small


Outstanding communication skills
