POSITION SUMMARY

Consistent with the mission, vision, and values of the National League of Cities, the Senior Executive Administrator for the Center for Leadership, Education, Advancement, & Development (LEAD) provides high-level executive administrative support to the senior executive of LEAD. Oversees the Center's office operations and handles communications while maintaining confidentiality and professionalism.

DUTIES AND RESPONSIBILITIES

Administrative Support

  • Provide executive level administrative support to ensure the efficient operation of the Center for Leadership, Education, Advancement, & Development (LEAD).
  • Manage calendar and schedule including coordinating hotel and travel arrangements.
  • Provide a bridge for smooth communication, credibility, and trust between the senior executive, center staff, and internal/external stakeholders.
  • Work closely and effectively with the senior executive to keep them informed of upcoming commitments and responsibilities, following up appropriately.
  • Prepare correspondence, reports, presentations, and other documents as requested.
  • Supervisors administrative support personnel.
  • Perform other duties and special projects as assigned.

Communication Management

  • Serve as a point of contact for internal/external stakeholders.
  • Screen and prioritize communications, including emails, phone calls, and other inquiries.
  • Prepare and manage communication materials, ensuring accurate and timely dissemination of information.
  • Handle sensitive and confidential information with discretion and integrity.
  • Maintain a high level of professionalism in all interactions and communications.

Program Coordination

  • Assist in tracking Center program milestones, deliverables, and deadlines.
  • Maintain Center documentation and records, ensuring all information is up-to-date and accessible.
  • Support the Senior Executive in project planning and execution, including research, data collection, and analysis.
  • Help manage project schedules and timelines, tracking progress and providing regular updates.
  • Facilitate communication and collaboration among project team members.

Financial Administration

  • Handle expense reports, budgets, invoices, and financial documentation related to the senior executive and Center.

Minimum Qualifications

  • Bachelor's degree and a minimum of 5-7 years of experience supporting experience supporting C-Level Executives, preferably in a non-profit organization or a minimum of 10 years' experience in a senior level administrative support role supporting C-Level executives.
  • Ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills.
  • Ability to maintain balance among multiple competing priorities.
  • Has experience working independently on projects, from conception to completion,
  • Must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
  • Advance proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and project management tools.
  • Detail-oriented and proactive in anticipating needs.

Work Location
