We are seeking a Senior Project Support Specialist to provide full-time in office support to a NASA contract in Washington D.C. Responsibilities: The Science Mission Directorate at NASA Headquarters is seeking a Senior Project Support Specialist to provide full-time in office executive business support to the Astrophysics Division to include the following: Calendar management: including calendar resolution to assure key meetings are covered by at least one member of the SMD senior management team. Coordinate meeting logistics, including agenda, attendees, reserving conference rooms and/or call-in numbers, travel information, etc. Independently perform administrative management functions that service and/or fulfill several organizational requirements. Specifically preparing travel authorizations and vouchers for multiple members of the Division, including international and invitational travel. Create travel orders, make reservations, process any required miscellaneous forms, and complete vouchers. Maintain databases that reflect the fulfillment and/or status of administrative requirements and/or systems. Conduct a technical review of correspondence prepared for signature of organization executives to assure consistency with agency procedures on completeness, timeliness, and format standards. Work with the Headquarters Action Tracking System (HATS) and Partnership Agreement Maker (PAM) to assure all SMD actions are being actively addressed. Supporting key meetings (e.g., establishing call-in line, taking notes, creating sign-in list) either in person, Webex or MS Teams. Create presentations for the division in support of meetings. Develop and support Directorate milestone planning activities, and other duties as assigned. Make recommendations for customers (i.e., recommending meeting attendance, communications, and notices to keep the customer informed while valuing their tight schedules.) Become familiar with the internal NASA HQ points of contact for IT and meetings' support, especially for hybrid gatherings. Track division personnel with security clearance access (secret, top secret, and top secret/SCI) and assist them in setting up classified briefings within NASA and with other DoD/DOE agencies. Support domestic and foreign visitors to NASA HQ division offices; process in advance the required paperwork and communicate that information to the authorized escorts. Additional duties as assigned. On-site office presence at least 3 days per week. Executive administrative and office experience preferred. Travel arranging experience highly desired; experience with Concur Government Edition preferred. Ability to independently keep up with rapidly changing calendar events such as scheduling and re-scheduling meetings and changing travel arrangements on short notice. Proficient in Microsoft Word, PowerPoint, Excel, and Outlook. Experience with Google Docs, Forms, and Calendar is a plus. Demonstrate high degree of accuracy, organization, consistent attention to detail and high level of productivity. Strong capability to learn new software tools and systems quickly and independently. Ability to work independently as well as in a team environment. Decision making and prioritizing with minimal direction. Detail oriented with exceptional organizational skills. Strong sense of urgency, self-initiative, and problem-solving skills. Must have excellent verbal, written and interpersonal communication skills. Friendly and tactful personality to be able to work with the public. Ability to work independently as well as in a team environment; ability to interact well with all levels of professionals as a team player. Exceptional customer service skills, both over the phone, electronically and in person; proactive and quick to respond to customer requests. Ability to follow specific directions, document procedures, and ask questions as needed. Possess leadership qualities, a strong sense of ethics, discretion, and professionalism. Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job. Education and Experience: Bachelor's degree and 3-4 years of experience or 7-8 years in lieu of education. This posting is offering a pay range of $61,499 - $92,249 depending on experience, seniority, geographic locations, and other factors permitted by law.
