Job Description Description Position Title: Special Assistant Requesting Mission/Office: Prosper Africa Executive Secretariat Clearance Requirement: Secret (this will be facilitated for the successful candidate) Period of Performance (o/a): 9/15/2024-6/23/2027 Place of Performance: Washington DC Expected Travel: 2 TDY trips annually to Africa BACKGROUND: Prosper Africa is a Presidential-level, national security initiative to strengthen the strategic and economic partnership between the United States and African countries. Prosper Africa builds a 21st Century U.S.-Africa partnership by increasing two-way trade and investment to strategic scale to create jobs, secure strategic sectors and supply chains, advance economic prosperity, and counter threats that include climate change and malign foreign influence. Through its NSC-directed role, Prosper Africa mobilizes and amplifies the resources of 17 U.S. federal agencies in Washington and the field to advance the U.S. Government's strategy for Africa . The Prosper Africa Executive Secretariat (PAES) seeks a Program Management Specialist to serve as a Special Assistant for the PAES Executive team. As a critical member of the Management team, the Special Assistant, under the guidance of the Chief of Staff, will provide guidance to Secretariat staff on the full range of internal administrative functions that focus on the Executive office. The Special Assistant will provide support to the Coordinator and manage multiple competing day-to-day office management tasks which include but are not limited to managing admi nistrative functi ons, p erforming clerical functions, drafting status reports, performing records and communications management duties, and other general support duties as may be assigned. DUTIES AND RESPONSIBILITIES, include but are not limited to : Support the Prosper Africa Coordinator, Deputy Coordinator, and Chief of Staff with administrative and organizational functions, to include: Managing schedules, including communication with high-level contacts
Providing temporary-duty (TDY) logistics support, such as eCC approvals; prepare hotel reservations; transportation; visa letters; computer access; welcome kits, etc.
Assisting with tracking and updating the status of the team's activities.
Clerical functions such as control and filing/library maintenance, portfolio review support, management systems support, handling information requests, program file management, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings (technical and program related; conference and event planning).
Manage multiple competing priorities through effective organization and communication.
Provide regular and timely status reports to the internal management team.
Work closely with peers and government personnel.
Record Management and Communications Direct and track incoming and outgoing communications; ensuring correspondences are answered in a timely manner by the team.
Draft and prepare key documents, as needed, including memos, letters, and presentations.
General Support Track time and attendance reporting for the Executive team.
Provide logistics support for new staff members, such as preparing orientation packets, schedules, etc.
Coordinate logistics and agendas for standing team meetings and interagency meetings, taking notes as needed.
Organize team-building social events.
Provide surge support for other Prosper Africa Executive Secretaria teams on an as-needed basis.
Other duties as assigned. NOTE: The incumbent will not perform inherently governmental functions or duties (e.g. will not serve as AOR/COR or supervise staff), but rather will advise, mentor, and facilitate as appropriate on the performance of inherently governmental functions on the part of the Prosper Africa Initiative. Required Skills Required: A bachelor's degree in international relations, economics, finance, trade, business, international development, or public policy with a minimum of five (5) years of relevant work experience
Strong communication, organizational skills.
Demonstrated ability to work independently and with others.
Ability to work under tight deadlines and handle multiple/detail-oriented tasks.
Proficiency in administrative and clerical functions.
Effective interpersonal skills, especially with senior leadership.
Proficient in Google (Docs, Drive, etc.) and Microsoft (MS Word, Excel, etc.) applications.
U.S. Citizenship and the ability to obtain a Secret security clearance. Desired Skills (Optional) Master's degree in international relations, economics, finance, trade, business, international development, or public policy, with a minimum of two years of relevant experience.
