Job description

Overview:
The Service Dispatch will be responsible of the scheduling and dispatching of technicians for daily service and emergency calls, receiving all phone calls to the service department and delegating them based upon department needs. Incumbent will also be in charge of creating and tracking work orders for unresolved jobs, troubleshooting minor issues over the phone and escalating as required. Excellent communicator that is able to multi-task and ensure accurate and timely action on responsibilities.

Responsibilities:
Planning ahead to dispatch technicians on a daily basis and coordinating additional dispatch requests required throughout the day

Receives check-in calls from service technicians and informs workers of next job to respond to

Maintain dispatching documentation to ensure maximum efficient capacity of technicians

Frequently communicate with department managers, employees, and company customers

Assist with running open PO reports daily and reviewing for confirmation of price and delivery. Following up with supplier when needed to resolve shipment errors.

Support by reviewing Vendor Database to ensure accuracy of part information including descriptions, supplier data, costs and pricing. Escalate for errors in the system.

Help develop SOP's for the department and document workflows and work procedures

Help Schedule and track drop shipments to ensure timely deliveries

Addressing problems and requests by transmitting information and providing solutions or escalating as appropriate

Helping to review work orders to become ready to be invoiced.

Assist with special projects as necessary

Other duties as assigned

Qualifications:
2+ years administrative experience

High School diploma or GED required

Degree preferred

Bilingual Spanish/English Preferred

Extremely Proficient in MS PowerPoint, Word, Excel, MS Outlook and Internet Explorer.
