Job description
Overview:
Assist Director of Finance in directing the financial activities of the hotel, safeguarding the assets, and preparing all financial reports in accordance with generally accepted accounting principles and HEI Hotels and Resorts Standards.
Responsibilities:
01) Send weekly schedule to CDOF & ACDOF, who you report directly to.
02) Time off requests are to be approved by CDOF.
03) Salaried Manager - job must be completed accurately with the utmost attention to detail, so avoid distractions, and put the time in to focus on Accounting functions.
04) Daily IJ - prepare and submit accurate Daily IJ as follows: Monday (submit, at the minimum, Friday & Saturday), Tuesday (submit, at the maximum, Sunday & Monday), Wednesday through Friday (submit the previous day). IJ's due on Monday/Tuesday to be posted by 12pm, Wednesday-Friday to be posted by 11am each day.
05) Daily Revenue Report - must be sent out EVERY day (using the same schedule as Daily IJ submissions) to the list of Tishman, HEI, and Property individuals that you have been given.
06) Accounts Payable - along with the AGM's, utilize and maintain the Accounts Payable process, including reviewing and (properly) coding of invoices, daily scanning of invoices into the "Queue" for centralized to process and verifying vendor statements. Ask CDOF and/or ACDOF if there are coding or other questions.
07) Ledgers - monitor the guest ledger, advance deposit ledger as well as any other subsidiary ledgers; report/take action for any variances. Variances include deviations from Oracle Trial Balance and net change day-to-day in PMS.
08) Accounts Receivable - credit application processing, reference checks, credit limitation, direct billing list, deposit requirements, and all other credit-related activities.
09) Accounts Receivable - provide statements and invoices as needed to groups, 3rd parties, wholesalers in accordance with established procedures for each partner.
10) Accounts Receivable - track all collection efforts using HEI collection log and keep accounts in AR Aging from exceeding 60 days outstanding.
11) Complete assigned month end Journal Entries, Daily Cash Management, and Bank/Balance Sheet Reconciliations.
12) Respond effectively to chargebacks and customer inquiries in a timely fashion while effectively recording details and providing support. Record status on Chargeback Excel worksheet.
13) Organize and lead monthly credit meeting to review the status of aging accounts, group/3rd party master account balances, payment schedules, bad debt, chargebacks, etc.
14) Maintain credit card 4-way daily reconciliation report to identify variances to be acted upon.
15) Prepare daily routing pack for review by department heads in accordance with HEI SOP's.
16) Verify compliance with Finance SOP's are in place.
17) Keep management aware of any unusual operation or financial occurrences and/or significant deviations from policies and procedures.
18) Monitor daily cash log (comparing cash posted in PMS vs cash sent for deposit to bank). Follow-up with front desk/AGM for cause of discrepancy and report to GM/CDOF/CADOF.
19) Monitor daily tax reconciliation log to ensure appropriate taxes are collected in PMS. Verify valid tax exempt forms are provided for reservations running as tax exempt.
20) Review daily adjustments from each property, ensure proper support is provided for audit pack.

Be able to perform all accounting functions in the event assistance is needed.
May monitor scheduling of all accounting associates, including Night Audit.

Objectively analyze associate performance and determine strengths and weaknesses.
Handle all disciplinary matters in accordance with policy and consistently with all associates.
Accounting Practices, Procedures, and Policies
Assist in Producing Financial Statements within designated time frame for preliminary distribution to hotel management and to meet HEI Corporate requirements.
Verify compliance with Finance SOP manual.
Participate in asset inventories.
Maintain records storage area in compliance with record retention requirements of relevant government agencies.
Preparation and knowledge of sales tax returns, as well as any other applicable tax liabilities.
Accounts Receivable and Cash Flow
Manage and oversee all Accounts Receivable functions, including collection calls as needed.
Verify credit cards are processed every night by night audit as needed.
Verify cash deposits are made timely as needed.
Balance Sheet Reconciliation
Assist Controller with the Reconciliation of balance sheet accounts each period.
Review any problem accounts with Controller and adjust entries to the general ledger.
Assist Controller as Needed
Help with any projects that may be requested.
Comply with attendance rules and be available to work on a regular basis.
Perform any other job related duties as assigned.
Qualifications:
One year experience in Hotel or Hospitality related Finance and Accounting.
B.S. in Accounting or Hotel Management.
Analytical approach to problems with regard for detail and accuracy.
Assertive personality.
Sound administrative and managerial skills.
Ability to function under pressure.
Have proficient training, coaching and counseling abilities.
Knowledge of hotel operations, including marketing plans, security and safety programs, personnel and labor relations, preparation of business plans, repairs, maintenance, budget forecasting, quality assurance programs, hospitality law, and long-range planning.
Effective verbal and written communication skills. Ability to adapt communication style to suit different audiences, such as effectively communicating with supervisors, coworkers, public etc.
