Crewing Coordinator Job Summary

We are seeking a Crewing Coordinator to be responsible for ensuring that all vessels are adequately and efficiently crewed in compliance with company policies, maritime regulations, and industry standards. This role involves coordinating the recruitment, deployment, and scheduling of seafarers, while maintaining detailed records and ensuring that all crew members meet the required qualifications and certifications. The Crewing Coordinator works closely with various internal departments and external agencies to ensure smooth and effective crew operations.

Crewing Coordinator Responsibilities

  • Coordinate the scheduling and deployment of crew members to vessels, ensuring all positions are filled in accordance with operational requirements and rotation schedules.
  • Prepare and update crew rotation plans, ensuring timely relief and minimizing crew changes during critical operations.
  • Liaise with vessel masters and port agents to facilitate smooth crew changes, including arranging transportation, accommodation, and other logistics.
  • Assist in the recruitment and selection of qualified seafarers, including conducting interviews, verifying credentials, and managing the onboarding process.
  • Ensure that all crew members meet the necessary qualifications, certifications (e.g., STCW), and medical fitness requirements before deployment.
  • Coordinate with manning agencies and other partners to source and recruit qualified personnel as needed.
  • Maintain up-to-date records of all crew certifications, licenses, and training, ensuring compliance with international maritime regulations (e.g., STCW, SOLAS) and company policies.
  • Ensure compliance with U.S. Coast Guard regulations, Jones Act requirements, and other relevant maritime laws.
  • Coordinate medical examinations, vaccinations, and other health-related matters for crew members.
  • Assist with the resolution of any crew-related issues or disputes.
  • Maintain accurate and comprehensive records of all crew-related activities, including personnel files, travel arrangements, and expense reports.
  • Prepare regular reports on crew movements, rotation schedules, and compliance status for management review.

Crewing Coordinator Position Requirements

  • Bachelor's degree from a Maritime Academy preferred
  • 2 - 5 years prior work experience directly related to crewing of ships and tug/barge units or similar business or activities preferred
  • Experience in a union environment preferred
  • Working knowledge of Coast Guard regulations, collective bargaining agreements and tug, barge and ship operations preferred
  • Strong computer skills, working knowledge of HRIS and reporting systems and working knowledge of Microsoft Office products
  • Basic knowledge of general HR processes preferred
