The Division of Advancement and Alumni Engagement utilizes resources, technology, and business for the purpose of constituent engagement, donor research and solicitation, and stewardship throughout Emory University and Emory Healthcare. We are currently seeking an Assistant Director of Operations Management.
The Operations Management team supports all Advancement and Alumni Engagement departments by leading the development and the execution of the annual planning process, the implementation of the strategic plan, and other strategic initiatives in support of the division's goals. This team leads the development of annual plans and serves as leaders and facilitators of project management and resource allocation throughout the division. With a focus on operational efficiency, fund management, and solution-oriented collaboration, the operations management team develops and ensures that business processes are executed in a consistent manner and that teams have the information and support that they need to do their best work and to ensure alignment with the success of engagement and advancement goals. This position will report to the Executive Director of Operations Management.
KEY RESPONSIBILITIES:
Coordinates operational support for centralized operations management team.
Develops plans and objectives to ensure success of the operations processes while working with departments across the division to build mutually beneficial relationships, improve communication and collaborative teamwork, and increase campus understanding of advancement and alumni engagement processes.
Creates reports, letters, and other materials for the team.
Manages multiple projects supporting the strategic goals of the unit.
Provides guidance with collecting and routing data for updates in CRM system, and ensuring gifts and records are processed appropriately.
May provide administrative and support.
May administer budgets.
Performs other related duties as required.
ADDITIONAL JOB DETAILS: In addition to the duties outlined above, the Assistant Director may be required to:
Create and project manage the finalization of Leadership Briefings.
Support CRM data hygiene efforts by coding key data points and maintaining records.
Compile, format, and copy edit job aids.
Provide project support by maintaining tasks and notes in the Division's Project mangement tool.
Perform data lookups, research fund purpose and giving histories.
Manipulate and analyze large or complex data sets using excel.
Provide support for team projects, such as budget management and transaction support, including reconciling and submitting transaction reports, expense reports, purchase orders, check requests, and invoices.
Represent the department or serve as primary contact working with other departments across the division/University.
MINIMUM QUALIFICATIONS:
A bachelor's degree and two years of experience in an office setting, OR an equivalent combination of education, training, and experience.
PREFERRED QUALIFICATIONS:
Successful candidates will possess strong organizational, written, and verbal communication skills and possess the ability to manage multiple projects simultaneously.
Strong interpersonal and problem-solving skills with the ability to navigate a complex work environment.
Commitment to delivering excellent customer service, the ability to work collaboratively, and comfort working with ambiguity.
Experience managing budgets and financial reports, working with various technologies including advanced knowledge and experience with Microsoft Office Suite, mass email applications, database and project management software, and CRM systems.
Prior experience in advancement, fundraising, alumni engagement, non-profit, or a university setting.
Flexibility to accommodate changing priorities and deadlines.
Possess a high level of professionalism and commitment to confidentiality with sound judgment and discretion.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
