About the Role:

Job Summary

Demonstrates the knowledge and skills to perform clerical functions and is responsible for contributing to the overall efficiency of the Imaging Service.



Minimum Job Qualifications

  • Educational Requirements: High School Diploma or GED.

  • Minimum Experience: One (1) year as Image Record Specialist or related clerical job skills.

Job Specific and Unique Knowledge, Skills and Abilities

  • Good typing skills

  • Good computer skills, proficient with Microsoft Office Products

  • Has the ability to operate office machinery such as a fax machine, copier and scanner

  • Good verbal and written communications skills



Essential Tasks and Responsibilities

  • Maintains open communication with all departments in the hospital as well as outside entities to facilitate accurate and timely assistance in retrieving patient information and identifying and solving problems. Provide feedback/ follow-up to requestor within a timely manner as indicated in the performance standards.

  • Maintain NGHS's customer service standards by assisting callers or visitors in any way possible, routing to appropriate personnel only when unable to offer assistance

  • Possesses ability and knowledge to function independently in any capacity required in Imaging Service Clerical/ File Room areas with exception of transcription.

  • Correctly maintains patient files ensuring prompt retrieval of information.

  • Maintains up-to-date knowledge of computer system as evidenced by ability to input and retrieve information. Utilizes NGHS Systems consistently and thoroughly to track and retrieve information, print required labels, reports, requests, transfer files, loan files, foreign films, etc.

  • Responsible for initiating and/ or completing the order entry process in the RIS system to ensure accuracy in the delivery of patient care.

  • Consistently monitors PACS for "needs priors", "less than final" exams, and all other appropriate information.

  • Consistently and efficiently perform basic duties as listed below: Answering phones. Filing/ Retrieving jackets in a timely manner and preparing them for transfer, transferring and delivering to appropriate area promptly. Generating new jackets as needed. Retrieves faxes and responds/processes them promptly

    Creates new CDs and uploads foreign CDs into PACS. Assists physician/customers with requests for CDs/films/reports and ensures all corresponding paperwork is completed. Digitizes/Hangs film while maintaining proper anatomical position and order. Properly enters/corrects patient and exam information within PACS. Assures all pertinent prior exams are uploaded into PACS or are readily available for radiologist review. Dispenses/explains Fleet kits. Monitors/replenishes supplies. Participates in the training and orientation of new staff.

  • Maintains neat, clean waiting area and reading rooms, initiating calls to housekeeping as needed. Responsible for waiting area during fire/emergency drills and occurrences.
