Job description

Overview:
Due to continued growth, our Nuclear Services Group is seeking a Project Management Administrator. This position can be located in any of our office locations.

Responsibilities:
Input, update, and disposition opportunities in CRM and ERP system through award/loss

Review and understand contract language, cost estimates and proposals to initiate projects in the ERP system including initial project setup, task setup, billing setup, billing rates, etc. in compliance with client and ENERCON policies and procedures; establishing project baseline budgets and allocations to authorized contract funding

Update and maintain project setup, task setup, and budgets in the ERP system as appropriate throughout the course of the project

Process client contracts/amendments/purchase order transmittals ensuring alignment with ENERCON's contract repository and project funding

Monitor project status and financial health using Key Performance Indicators (KPI) such as revenue and profit margin to aid the Project Manager in managing projects, and in producing deliverables and services that meet schedule, budget, and quality

Foster and maintain working relations with Project Managers, and other essential stakeholders i.e., Accounting, Project Controls, Manager of Projects, Division Directors, PMA-Supervisor, Engineering and Technical staff

Allocate budgeted labor hours to resources identified to support the project; verify and assign the client specific labor classifications and billing rates based on client requirements

Conduct bi-monthly prebill reviews to ensure accuracy in all labor and expense charges; identify discrepancies and seek resolution

Perform invoice reviews to ensure accurate billing prior to client submittal

Reconcile actual charges to budgets, and aid in managing projects based on Estimate to Complete (ETC) to ensure revenue recognition and financial posting accuracy

Run reports, analyze data, identify potential issues, and propose solutions to Project Managers

Prepare reports with critical deadlines, including client reports, internal trend reports, and project schedule compliance reports

Process subcontractor service agreement and lab service agreement transmittals for ENERCON's repository, prepare subcontractor purchase orders and modifications with required procedural documentation; process subcontractor invoices for client submittal and track timely payment to subcontractor; monitor subcontractor spend to authorized purchase order amounts

Coordinate and track quality assurance project training and client required training

Participate in project team meetings and schedule update meetings, if required

Perform editorial reviews of technical documents and/or financial reporting prior to client submittal. This review consists of procedural adherence as well as readability reviews

Troubleshoot issues with engineering and project management in the ERP system

Qualifications:
Bachelor's Degree in Business Administration, Finance, or related industry experience in federal government, contract services, or engineering

Minimum 2 years of business administration, project controls or support role in a technical or consulting environment

Demonstrated business/financial aptitude

Must have the ability to effectively balance conflicting priorities

Excellent organization and time management skills, very detail-oriented, and ability to multi-task

Strong analytical skills and demonstrated ability to exercise discretion, judgment and always be professional due to the confidential nature of the project work

Ability to comprehend and carry out instructions and follow tasks to completion with minimal direction

Intermediate to Advanced computer skills including Microsoft Excel (including tables/charts/formulas) and Word (including formatting)

Excellent communicator with the ability to work and communicate across all levels of an organization

Excellent attention to detail

Ability to travel less than 5% of the time
