Job description

Beacon Hill has partnered with a global financial institution to find a highly skilled Executive Assistant to support a Global Head in a brand-new Chicago office. This position provides a great opportunity for someone looking to help launch and new office and provide top level EA support to a fast-growing firm.

Responsibilities:

  • Oversee and coordinate calendars, schedule meetings, and manage timely reminders and follow-ups.
  • Handle Office Management tasks such as sourcing new office space, supply ordering, IT vendor management and onboarding of new employees.
  • Organize travel itineraries, accommodations, and logistics for business trips, ensuring both cost-effectiveness and timely arrangements.
  • Process and manage expense reports efficiently.
  • Plan and coordinate meeting details, whether virtual or in-person, including location, IT and media requirements (such as video and conferencing software), catering needs, and other logistical arrangements.

Qualifications:

  • 5+ years of experience, with a preference for a background in Finance or Investment Banking.
  • Bachelor's degree preferred
  • Exceptional attention to detail and problem-solving abilities.
  • Capability to multitask, prioritize tasks, and perform effectively in a dynamic, fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and other relevant technologies.
