Our client is committed to delivering exceptional service and support to their clients. They are looking for a dedicated and detail-oriented Insurance Agency Assistant to join their team. This role is essential for ensuring smooth operations and maintaining high levels of client satisfaction.



Our client is seeking an Insurance Agency Assistant who will handle a variety of tasks, including resolving client issues, addressing billing inquiries, processing policy updates, and managing both email and phone communications. Your role will be instrumental in ensuring efficient agency operations and delivering outstanding customer service.



Key Responsibilities:


Client Issue Resolution:



  • Act as a primary point of contact for clients with concerns or issues.

  • Investigate and resolve client issues promptly and effectively.

  • Coordinate with other internal departments to address client needs such as claims, billing and customer service.


Billing Inquiries:



  • Assist clients with questions and issues related to billing and payments.

  • Process billing adjustments and corrections as needed.

  • Maintain accurate records of billing inquiries and resolutions.


Policy Updates:



  • Process and update client insurance policies as requested.

  • Verify and ensure accuracy of policy changes.

  • Communicate policy changes and updates to clients clearly and professionally.


Email and Phone Communication:



  • Monitor and manage incoming and outgoing emails.

  • Respond to client and internal inquiries via email and phone in a timely and professional manner.

  • Handle incoming and outgoing calls, providing information, answering questions, and resolving issues.


Administrative Support:



  • Schedule mid-year reviews, renewal reviews and other appointments with clients

  • Prepare reports and documentation as required.

  • Collaborate with team members to support overall agency operations.



Qualifications:



  • High school diploma or equivalent; some college coursework or degree preferred.

  • Previous experience in customer service, administrative support, or the insurance industry is a plus.

  • Bi-lingual is preferred, but not required

  • Strong organizational and multitasking skills.

  • Excellent written and verbal communication abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with insurance software is desirable.

  • Ability to handle sensitive information with confidentiality and professionalism.

  • Strong phone etiquette and experience managing both inbound and outbound calls.
