Job Summary

The Admissions Manager role is an integral position within the O'Neill Master's Programs Office (MPO). The MPO serves all students enrolled in a master's degree or graduate certificate program in the O'Neill School and all prospective students who are interested in pursuing a master's degree or graduate certificate program in the O'Neill School. The MPO is home to all administrative functions that relate to master's student enrollment management and current student services including but not limited to recruitment, admissions, financial aid, advising, engagement, and records.

Department-Specific Responsibilities
  • Supports the O'Neill School of Public and Environmental Affairs Bloomington admissions operations by managing approximately 550 applications annually received for O'Neill School graduate degree and certificate programs.
  • Directly interacts with prospective students and applicants and therefore has a direct hand in supporting the MPO's recruitment operations.
  • Timely processing of applications for admission to O'Neill School graduate and certificate degree programs.
  • Responsible for the intricate international admissions process and follow-up, including pre-admission interviews.
  • Recording applicant details into WebAdMIT application processing platform.
  • Ensuring applications have all required components and are accurately tracked and recorded.
  • Creating and sending application files for review.
  • Performs regular application updates for completion of application file.
  • Performs appropriate follow up with applicants via the Salesforce CRM regarding outstanding application materials.
  • Collects, records, and tracks official transcripts received from applicants as well as confirmed incoming students.
  • Tracks prerequisite admissions requirements for current students.
  • Data management - Provides reports on prospective students and applicants to the MPO Enrollment Management team to support ongoing initiatives and higher level reporting needs.
  • Responsible for the compilation and analysis of annual reporting needs of the Master's Programs Office. This includes, but is not limited to the annual enrollment survey, data from the National Student Clearinghouse, and annual decline surveys.
  • Collaborates with the MPO Enrollment Management team on communications sent via Salesforce Marketing Cloud to prospect, pre-applicant, applicant, admitted student, and confirmed student populations.
  • Collaborates with other members of the enrollment management team on events and virtual sessions for prospective students and applicants.
  • Interacts with all levels of employees at O'Neill and requires a high degree of professionalism.
  • Performs other duties as assigned.
General Responsibilities
  • Oversees the processing and evaluation of all applications for admissions into that school and accompanying material, such as transcripts, to determine eligibility.
  • Maintains records and databases of applications; updates and purges as necessary; gathers and collates information from records and prepares reports.
  • Reviews applications for completeness, contacts applicants for any missing information or to resolve discrepancies, and obtains any necessary information from other sources.
  • Schedules and oversees any applicant interviews.
  • Makes recommendations regarding admissions and financial aid decisions; contacts applicant regarding the decision on the admission application.
  • Responds to phone and email inquiries on admissions process and status of applications; may assist in the design of recruiting events and materials.
  • Counsels potential students regarding courses and grades required for admission.
  • May supervise temporary staff in the admissions office; monitors and evaluates job performance.
  • Maintains files and databases on students admitted into the school; generates reports based on this information.
  • May take on escalated and complex issues; may provide guidance to other admissions staff.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Location

Bloomington, Indiana

This position is eligible to work a hybrid schedule (mix between 1 day remote and 4 days in-person work), subject to change in the future based on university policy and business needs.

Advertised Salary

$19.23 - $21.42 per hour based on experience
