Job Summary
The Warehouse Logistics Coordinator at Golden Waffles is responsible for overseeing and maintaining critical warehouse data, ensuring smooth operations and compliance with all regulatory and contractual obligations. This role involves managing lease agreements, insurance details, deadlines for essential warehouse components, building compliance, and vendor relationships to maintain optimal warehouse functionality.
Essential Duties and Responsibilities
Lease Management:
- Maintain up-to-date records of warehouse lease agreements.
- Track lease renewal dates, costs, and negotiations.
- Collaborate with property owners and legal teams to address lease-related issues.
Insurance and Risk Management:
- Ensure that all warehouses are properly insured, managing policy renewals and claims.
- Maintain detailed records of insurance documents and liaise with brokers and insurers.
Compliance & Regulatory Oversight:
- Monitor warehouse compliance with building safety codes, fire regulations, and environmental standards.
- Work with external auditors and inspectors to ensure all compliance documentation is up to date.
- Manage key deadlines for any compliance updates or requirements.
Vendor Management:
- Coordinate with third-party vendors for warehouse maintenance, repairs, and essential services.
- Manage vendor contracts, ensuring adherence to agreed-upon service levels and timelines.
- Maintain a list of approved vendors and negotiate favorable terms for Golden Waffles.
Deadline Management:
- Track and manage critical deadlines for all key components of warehouse operations, including lease renewals, compliance inspections, and insurance renewals.
- Ensure proactive communication with internal and external stakeholders regarding upcoming deadlines.
Data Management & Reporting:
- Maintain accurate and detailed records of all warehouse logistics data.
- Provide regular reports to management on warehouse status, upcoming deadlines, and areas for improvement.
Problem-Solving:
- Identify operational challenges in the warehouse, such as issues related to logistics, building maintenance, or vendor performance.
- Analyze problems, develop solutions, and implement corrective actions to minimize disruption and improve overall efficiency.
- Collaborate with internal teams and vendors to resolve unexpected issues quickly and effectively.
Compliance and Safety:
- Ensure all activities comply with company policies and relevant regulations including FSQA requirements.
- Promote and enforce safety protocols.
- Stay informed about changes in regulations and industry best practices.
Position Requirements
- Associate's or bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- 3-5 years of experience in warehouse operations, logistics, or data management.
- Experience with vendor management, lease agreements, and compliance tracking is preferred.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in logistics software and Microsoft Office applications.
- Ability to work well under pressure and solve problems effectively.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Knowledge of logistics regulations and best practices.
- Attention to detail and accuracy.
- Primarily an office-based role with occasional visits to warehouse locations.
- May require working outside standard business hours to meet critical deadlines or respond to urgent issues.
- Occasional lifting up to 15 lbs. may be required.
