Service Administrator Opportunity Summary:

As a Service Administrator, you are responsible for supporting all administrative needs of the service department in concert with the shop personnel to ensure all work scheduled is performed to the customer's satisfaction.

Job Duties:

  • Answers and screens all incoming calls and directs them to the appropriate person, taking accurate messages when necessary.
  • Composes routine correspondence and makes copies of correspondence or other printed materials.
  • Organizes and maintains file system and files correspondence and other records.
  • Arranges and coordinates travel schedules and reservations, when necessary.
  • Initiates work orders in the computer by gathering important details regarding the customer and the equipment being serviced, including warranty and/or billing information, and developing the customer complaint to aid in diagnosis.
  • Completes work orders and parts orders by accurately documenting all work performed, then processes customer payments in any of the acceptable forms, assuring that credit and warranty policies are followed.
  • Builds and maintains customer relationships.
  • Makes outbound calls to potential and existing customers to provide updates on repairs, parts, and sales orders.
  • Works with outside sales representatives to fill customer needs, keep customer commitments and maintain a high level of customer satisfaction.
  • Maintains sales unit inventory accuracy.

Work Experience and Qualifications:

  • High school diploma or general education degree (GED); one to three months related experience and/or training; or equivalent combination of education and experience.
  • Strong written and verbal communication skills.
  • Computer and software skills including Microsoft Office Suite.
