Wellness Coordinator Operations Specialist
95% Travel Role (Ohio, Kentucky, Tennesse, North Carolina - subject to change)

Position Summary:
The Wellness Coordinator Operations Specialist is responsible for directing and supporting all Wellness Coordinator efforts in their administrative role. The Wellness Coordinator Operations Specialist will have an assigned community for direct support and will work closely with the Personal Care Director. Additionally, Wellness Coordinator Operations Specialist will focus on the delivery of a 1440 experience, optimizing performance and leading employee connections within our communities by building proper training, creating tools, systems and any special projects for the WC position.
Required Experience for Wellness Coordinator Operations Specialist:
- Prior experience providing administrative and managerial support to a large staff required.
- Multi-Site Management Preferred
- Assisted Living or Memory Care experience is a plus.
- Proven organizational and communication skills
- Experienced training skills necessary
- Advanced computer skills and ability to learn in house systems (e.g. YARDI).
Accountabilities for Wellness Coordinator Operations Specialist:
- Manage Hiring Process: Accountable for all community following proper policy of hiring staff, appropriate paperwork filed and up to date, proper certifications/licensure and any training required.
- Payroll Administration: Accurately performs the payroll duties and expectations. Accountable for community to remain in the percentage or ratio of staffing guidelines for optimal performance.
- Schedule/Staffing: Create, maintain and update staff schedules and Caregiver Task Sheets with daily duties to ensure our residents consistently receive the best quality of care.
- Training Accountability: Maintaining all appropriate records of training for new and existing staff. Ensure all new hires enroll in Relias, receive their learning plans and complete all State regulatory training by mandatory deadline.
- Training of wellness coordinators: Provide all onboarding training and support for new wellness coordinators to make sure they have the tools to be successful in their new role. Work with Training Director to keep training processes and tools up-to-date and progressive. Add reinforcement training and continued education for current wellness coordinators.
- Accounts Receivable, Contracts and Billing: Manage the A/R process through community wellness coordinators, ensure all contracts are signed and up to date, billing is timely, and audit for accuracy. Manage communication with the wellness coordinators if there are problems or concerns. Review financial reporting monthly to find trends of areas for continued training.
- Coordinate coverage of communities with vacant wellness coordinator positions. Help with interviewing, hiring and onboarding of new candidates.
- Conducts bi-annual audits of community wellness coordinator responsibilities to verify accuracy and compliance.
- Provide Routine support and ongoing education: must provide ongoing and continued education to all wellness coordinators to keep up with new and changing technology or process. May include contributing to performance feedback with Wellness Directors.
- Work with Regional Wellness Directors for community team need.
- Any special projects to help efficiencies, best practices and protocols for the wellness coordinator position for the company.
- 95% Travel to assist at communities with vacant roles or support
Other Key Responsibilities for Senior Wellness Coordinator:
- Leads to and supports our 1440 culture and pillars.
- Provides operational support to the Wellness Coordinators in each community.
- Develops and maintains positive relationships with wellness coordinators.
- Assists in maintaining and updating all required employee records, both written and electronic.
- Completes appropriate paperwork and recommends improvements and more efficient ways of operating.
- Organizes, implements and evaluates training for all new hires and existing staff.
- Assists with tracking budget, income, expenses and maintains an acceptable inventory level for the Wellness Department.
- Available to work weekends as necessary and assigned.
- Perform other duties as necessary.
