Summary: The Process Improvement Coordinator is integral in boosting the efficiency and effectiveness of our Design Operations. Working closely with the Associate Manager and leadership in Design Operations, this role assists in creating, refining, and documenting both new and existing processes. Key responsibilities include organizing and designing process document templates and SharePoint sites, scheduling and distributing communications, setting up training sessions, and gathering feedback and questions about process implementations. This role ensures all processes are clearly defined and communicated to facilitate smooth and proactive workflows within the Communication Design team.

Responsibilities:

  • Plans, executes, and implements process improvement initiatives focused on project data tracking, workflows, training systems, and the introduction of new tools.

  • Aids in the creation and maintenance of standard operating procedures and/or work instructions.

  • Serves as the liaison within the team to gather and distribute process improvement information, ensuring a smooth and proactive workflow for the Communication Design team.

  • Support the development of Design workflows by engaging with cross-functional subject matter experts to incorporate feedback and best practices into process initiatives.

  • Supports process work stream schedules to ensure timely completion.

  • Prepares detailed reports and documentation on process changes.

  • Facilitates workshops and meetings to gather input and feedback from stakeholders.

  • Participates in multiple process improvement work streams simultaneously.

  • Assists in the planning and distributing of communications regarding training sessions, process updates and reference materials.

  • Acts as the main point of contact with internal Design partners as necessary.

  • Provides management with work stream status updates, feedback, and appropriate reporting on key responsibilities and objectives.

  • Functions as the task/project administrator for all assigned projects.

  • Assists and supports the Associate Manager and Design Operations leadership in various related tasks as required.

  • Creative problem-solver with a 'can-do' attitude

  • Ability to handle multiple projects efficiently, work under pressure, and meet deadlines

  • Proven ability to communicate and gather information from colleagues

  • Familiarity with design processes and requirements

  • Expertise in workflow management and strong prioritization skills are essential

  • Strong interpersonal skills and the ability to work both independently with minimal supervision and within a team

  • Work front experience preferred

  • Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint)

  • Experience with Microsoft Visio, Miro, or other process/value stream mapping software preferred

  • Ability to effectively organize, prioritize, and manage multiple tasks simultaneously 3-5 years of relevant experience

  • Proficiency in Office 365; familiarity with Workfront or similar project management software is a plus
