Job description

Basic Functions Under the supervision of the HR Supervisory Assistant (visa accreditation) the position is responsible for visa, accreditation and registration support to American employees and their dependents, as well as TDY visitors and guests of the Embassy employees. Provides general administrative support to HR office. MAJOR DUTIES AND RESPONSIBILITIES Provides visa support services to permanently assigned American employees and their dependents, contract employees, TDYers, domestic employees, and guests of the Embassy which entails assisting employees with visa extension, visa renewals, exit visas, guest-of-embassy visas and emergency visa cases. Provides assistance in accreditation and registration of incoming permanent personnel, and their family members with the MFA. Provides assistance in registration TDY visitors and guests of embassy officials with the MFA. Assists American employees with the completion of all necessary personnel forms upon arrival and departure. Issues temporary service cards to long-term TDY employees. Issues letters of ID for all visitors. Prepares daily mail to the Ministry of Foreign Affairs of the Russian Federation (MFA). Drafts diplomatic notes on all accreditation and visa related issues, including the above-mentioned cases and third country visa support diplomatic notes. Issues reminders for visa extensions and final exit visa issuance. Maintains filing system: dipnotes' database, visa support files of permanent employees, TDY visitors and domestic employees. Updates forms and instructions regarding registration, check-in, check-out, visa support, etc. Qualifications College or University studies. Top Secret clearance required. One year of experience dealing with the public in a customer service position. Level 3 speaking/reading/writing in English and Russian is required. Russian language is required for written translation of diplomatic notes and communication with MFA officials. Thorough knowledge of general office procedures. Good understanding of Russian visa and immigration law, MFA regulations and procedures regarding visa, registration and accreditation of diplomatic staff. Well-developed, written and oral communication skills.
