Accounts Receivable Specialist

We are seeking a detail-oriented and experienced Accounts Receivable Specialist to join our construction client. In this role, you will manage all aspects of the accounts receivable process, ensuring timely and accurate billing and collection of payments. The ideal candidate will have a strong understanding of construction billing practices, contracts, and customer account management. You will play a critical role in maintaining the financial health of our business by managing receivables, resolving discrepancies, and fostering strong customer relationships.

Key Responsibilities:

  • Generate and issue invoices, progress billings, and retainage billings for construction projects, ensuring accuracy and compliance with contract terms
  • Monitor customer accounts to identify overdue invoices and follow up with clients to ensure timely payment
  • Reconcile accounts, track payment terms, and resolve any disputes or discrepancies with clients
  • Assist in the preparation and filing of mechanic's liens, lien releases, and waivers, ensuring compliance with applicable laws and regulations
  • Prepare regular aging reports and assist in forecasting cash flows based on receivables
  • Work closely with the project management team, customers, and the finance department to ensure smooth operations and resolve any billing issues
  • Maintain accurate and organized records of invoices, payments, and correspondence
  • Ensure adherence to company policies and relevant accounting principles and regulations in all accounts receivable processes.

Qualifications:
  • Associate's or Bachelor's degree in Accounting, Finance, or a related field is preferred but not required
  • Minimum of 2 years of experience in accounts receivable, preferably in the construction industry
  • Familiarity with construction billing, including AIA forms, progress billing, retainage, and change orders

Skills:
  • Proficient in accounting software (e.g., QuickBooks, Sage, or similar) and Microsoft Excel
  • Strong attention to detail and accuracy
  • Excellent communication and interpersonal skills
  • Ability to handle multiple tasks and prioritize effectively
  • Knowledge of lien laws and the lien waiver process is a plus

Work Model:
  • 100% in office, with limited hybrid access for inclement weather / appointments / family needs

Compensation:
  • $49,000 - $54,000/year based on experience
