Office Coordinator / Bookkeeper

A local trusted construction company in Kalispell, Montana, is hiring an Office Coordinator/Bookkeeper. This company prides itself on helping their customers make the most of their investments. The Office Coordinator/Bookkeeper will ensure the smooth operation of daily administrative tasks and accurate financial management, contributing to the long-term vision of creating a legacy of excellence and pride in work.

Essential Functions and Duties:
  • Serve as the primary point of contact for all office operations and maintain an organized, professional, and welcoming workspace while overseeing office needs, and equipment maintenance
  • Perform day-to-day bookkeeping tasks such as managing accounts payable/receivable and reconciling bank statements
  • Prepare financial reports, process payroll, and collaborate with leadership to align financial strategies with company goals
  • Prepare weekly job cost analysis on all open jobs
  • Coordinate schedules, manage communications, and mentor team members
  • Assist with document management, ensuring all records are accessible and compliant with company policies and best practices
  • Prepare for internal and external audits and work closely with accountants during tax seasons while ensuring compliance with accounting standards and practices, contributing to financial integrity

Qualifications:
  • Experience in office administration and bookkeeping
  • Proficiency in accounting software, QuickBooks and Microsoft Office Suite
  • Exceptional communication and interpersonal skills
  • A strong sense of responsibility, creativity, and adaptability to dynamic environments
  • Ability to pass background and drug screenings
