The Role

The Executive Assistant provides high-level administrative support to the Leader by managing schedules, coordinating meetings, handling correspondence, and performing various tasks to ensure the efficient operation of the President s office.



The Skills You Bring

  • Administrative Support: Manage the calendar, schedule appointments, and coordinate meetings.

  • Travel Arrangements: Coordinate travel plans, including flights, accommodations, and itineraries (for domestic and international travel).

  • Meeting Coordination: Prepare agendas and follow up on action items from meetings.

  • Liaison Role: Act as a point of contact between the President and stakeholders.

  • Event Planning: Assist in planning and coordinating company events and functions.

  • Project Management: Handle special projects as assigned by the Leader, ensuring timely completion.

  • Confidentiality: Maintain confidentiality of critical information and handle it with discretion.

  • Office Management: Be responsible for the daily operations of the Head of Fidelity Fund and Investment Operations office, including managing supplies and equipment.

  • Education: Bachelor s degree in business administration, Communications, or a related field.

  • 5+ years of experience in a similar role within the same industry.

  • Familiarity with project management tools and software.

  • Ability to work independently and as part of a team.

  • Demonstrated ability in an executive assistant role, preferably supporting C-level executives.

  • Effective organizational and time-management skills, with the ability to prioritize and balance multiple tasks simultaneously, reacting and thinking quickly while cutting through ambiguity.

  • Strong written and verbal communication skills.

  • Unrivaled attention to detail and consistent delivery of the highest quality of work

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • High level of integrity and discretion.

  • Strong interpersonal skills and the ability to build relationships with internal/external partners.

  • Professional maturity and ability to efficiently work with all levels of management.

  • A self-starter with the ability to take initiative in a fast-paced environment.
