Description:

CSPNJ, a mental health nonprofit agency, is looking for an Office Manager. Under the direction of the CEO, the Office Manager plays a pivotal role in overseeing the agency's day-to-day administrative and operational functions. This role requires a high level of professional, discretion, and the ability to manage multiple priorities in a fast-paced environment.


HIGHLIGHTS

  • Fleet Management: Manage the agency vehicle fleet including maintenance and repairs, ensures compliance with government rules and regulations and files paperwork in support of this compliance, communicate with dealerships and body shops to confirm repair, assist with accident reporting, track fuel card and E-ZPass expenses, GPS (Azuga) reporting.
  • Administrative Systems: Manage office supplies and office equipment, place orders / repairs as necessary, assist executive team when needed, manage relationships with external contractors and vendors (i.e. custodial crew, landscaping), assist new hires with IT needs, backup to the Administrative Specialist.
  • Communication: Handle sensitive communications, acting as a liaison between the executive team and other departments, oversee staff interactions and respond to their queries on office management issues, serve as key liaison between executive team and key internal and external partners, clients, institutions, brokers, and other stakeholders, providing excellent customer service.

  • Full-time 40 hours per week $55,000.00 annual
Requirements:
  • Bachelor's Degree in Business Administration.
  • Minimum 4 years' experience in a similar role.
  • Ability to prioritize tasks and execute multiple projects simultaneously.
  • Excellent conflict management, coaching and interpersonal skills.
  • Proven track record of excellent follow-through and accountability.
  • Outstanding organizational skills and meticulous attention to detail.
  • Strong writing, proofreading and verbal communication skills.
  • Proficiency in MS Office, Excel, Word, Outlook, PowerPoint, Adobe, and other applications.
  • Ability to work with individuals with mental illness in a caring and professional manner.
  • Valid NJ Driver's License with acceptable driving record.
  • Lived Experience: CSPNJ prioritizes hiring people who use their own life experience dealing with mental health/substance use issues to inspire and support others.
