The Position

Provides support to the US CORPORATE SUSTAINABILITY & SOCIAL IMPACT (CSSI) department by managing and vetting grant requests through the Cybergrants system. This role is responsible for ensuring that all requests are reviewed and vetted thoroughly as well as meet legal requirements. Accountable for supporting functional objectives and special projects assigned by the CSSI and Alliance Development teams. In addition, this role will coordinate the creation, implementation, and execution of MSA/SOWs, invoices, accruals, reconciliations, processes and best practices related to budget management for these functions.

Relationships

Reports to the head of the Planning, Execution & Operations Team (PE&O), and interacts regularly with CSSI, Alliance Development, Legal, Compliance & Finance. Must maintain productive working relationships across internal colleagues, specifically CSSI, Alliance Development, Legal and Compliance teams. Must work well with outside stakeholders interested in grant awards from NNI, including personnel from national, state and local non-profit organizations.

Essential Functions

  • Responsible for maintaining overall CSSI department budget. Conduct meetings with CSSI team on individual programs and special projects spend. Work directly with LCA finance business partner on all needs relating to the CSSI budget and monthly reporting
  • Acts as the primary contact for issues related to the process of application for charitable grants and corporate giving
  • Must review, assess and revises relevant procedures as to their efficiency, workflow and implementation
  • Acts as the Admin of Cybergrants. Setting up new users and determining what level of responsibility to assign within the system
  • Responsible to provide guidance and training for other personnel in the group on grants portal as needed
  • Oversees the processing, review (CSSI, Legal and Compliance) and payment of all charitable giving requests (leverages DocuSign, COUPA and SAP systems)
  • Manages the timing and payment of multi-year grants to maintain the integrity of NNI and deliver on the expected budget
  • Primary contact for questions related to to the processing of grant applications, including requests from NAO sites
  • Facilitates the setup and maintenance of all CSSI and Alliance Development Team vendors, including changes to addresses, banking and other pertinent vendor information Responsible for the contracting of Alliance Development agreements such as Collaboration Agreements, Sponsorships, MSAs and SOWs
  • Prepares and delivers ad-hoc reports and presentations for PE&O, CSSI & Alliance Development LTs
  • Qualifications

  • A Bachelor's degree preferred. Equivalent work experience may be substituted for degree when appropriate
  • 2+ years working experience managing systems, data and processes required
  • Experience with the processing of vendor setups, contracts and payments including budget tracking and reporting preferred
  • Comfort working in a matrix environment with a multitude of leaders providing direction is required
  • Ability to work in a matrix environment with a multitude of department leads to coordinate processes, procedures, and programs with multiple stakeholder groups
  • Strong organizational skills, detail oriented, and strong financial/budgeting abilities. Required to perform a variety of complex activities in support of finance, such as assisting in the monthly close process, account analysis, and reconciliation
  • Ability to understand complex criteria and apply evenly, specifically with regard to regulatory, legal, or other terminology specific to the appropriate functional processes
  • Must possess demonstrated skills in PC applications, typically involving new/emerging technologies, such as on-line databases, optical technology, intranet/internet, and computer software programs specific to the function. Demonstrated competencies in the technical, regulatory, and legal terminology of the functional processes
  • Required to work under limited supervision, exercising independent discretion and judgment, where input to changes in work processes and workflow is often required
  • Responsible for budget tracking and assisting with using new/emerging technologies in performing the duties of the position to compile and generate reports, statistics, timelines, tables, graphs, correspondence, and presentations
