Job description

Supports all office functions of the Nursing Department including telephone coverage, clerical and word processing functions and file maintenance. Greets and assists visitors including students and staff. Answers phone and email inquiries regarding program information and advisor availability. Maintains confidential records, assists faculty and administrative staff as necessary. Regularly communicates with department Director and with clinical affiliates as necessary for completion of clearance paperwork. Word Processing and Clerical Responsibilities: Word processing to input material from handwritten or typed copy; correspondence, lesson materials and letters. Proofread and make necessary corrections to be ready for printing/publishing. Responsible for typing minutes of team meetings. Student Contact: Assist students and provide direction when necessary. Provide general information regarding nursing program to in person, email and phone inquiries. Prepare, distribute and collect various student forms, letters and documentation. Mail, filing, telephone: Sort and distribute mail to department members, assist with maintaining departmental filing system, provide telephone coverage and take accurate phone messages. Additional duties: May include maintaining office supplies and ensuring the functioning and repair of office equipment. Maintains accurate student files, including up-to-date logs for student criminal history background checks and performance evaluations. May include preparing and maintaining graduate certification letters. Coordinates departmental textbook adoptions and requests desk copies. Assists chairperson with coordinating RN Refresher program every other summer. May include preparation of payroll in the absence of the department Administrative Assistant. Other duties as requested by supervisor. Clinical Affiliate Student Rosters/Clearances: Prepares and distributes clinical affiliate student rosters and clearance information each semester. Coordination of Student Applicants: Prepares and maintains files of nursing applicants to the professional phase of the nursing programs, including Advanced Placement students. Notifies applicants of admission status. Enters petitions for students to register each semester. Qualifications - Education High School Graduate Qualifications - Experience 1-2 yrs experience in clerical/administrative field required. Additional education may be substituted for experience requirement. Qualifications - Skills Typing 55 WPM. Knowledge of PC and Calculator. Knowledge of Microsoft Office (including Word and Excel). Good phone skills and manners. Customer service skills. Attention to detail. Self-directed. Excellent organizational and communication skills. Sensitivity in handling confidential information. Work Hours Work Hours Required: 8:30 am - 4:00 pm Monday through Friday 11:00 am - 6:30 pm one day per week (Monday)
