Overview:
Are you seeking a entry level office role? If so, our IT Assistant/Document Specialist (internally known as Document Management Technician/Operations Assistant) may be the right role for you!

Our IT Assistant/ Document Specialist ( internally known as a Document Management Technician) will be responsible for gathering records and preparing charts for exam session. This position performs a variety of tasks such as pulling records from a variety of portals, generating proper cover letters and associated forms, updating client lists, data entry, maintaining efficient document storage and handling entry level IT inquiries, all in accordance with strict timelines needed. Travel is also required to deliver and pick up records as needed.

Additionally, this role will provide occasional low level technical support ensuring equipment is functioning properly and assisting with set up of company equipment.

This role is a full time position with a standard work schedule Monday-Friday 8-5p.m.

Responsibilities:
ESSENTIAL JOB FUNCTIONS

Prepare, print, sort, scan, process and maintain electronic and/or hard copies of charts, medical report forms or company documents.

For medical reports:Will gather and organize examinee charts for examinations and/or deposition purposes. Finalize completed charts by confirming all records are included and consolidate charts in proper order. Ensure no duplicates or unnecessary documents are stored.

Prepare and ship records to physicians utilizing appropriate mailing sources (USPS, UPS, or Electronic) within required timeframes and in accordance with client instructions.

Will download or upload files through website portals.

Perform clerical duties such as typing, filing, emailing, and proofreading as required. May be responsible for mail duties.

Promote effective and efficient utilization of all company supplies and resources.

Pick up and deliver files, documents and packages between client offices, doctor offices, offsite employees or other establishments and company.

Protect examinee rights by maintaining confidentiality of personal and financial information at all times and in accordance with HIPAA regulations. Ensures all medical files are properly safeguarded and handled in accordance with all HIPAA regulations.

Assist with coordinating IT requests for staff as needed. Act as a liaison for incoming requests or needs.

Assist with office equipment to include maintaining, light troubleshooting and setting up and connecting computer devices & peripherals.

Perform other duties as assigned.

Qualifications:
EDUCATION AND/OR EXPERIENCE

High school diploma or equivalent required. A minimum of one year related experience; or equivalent combination of training and experience. Experience in a medical office preferred.

QUALIFICATIONS

Must hold a valid state Driver's License and be able to perform day travel as required.

Must possess knowledge of general computer, fax, copier, scanner, and telephone.

Must be computer savvy and able to troubleshoot entry level IT issues such as (troubleshooting printers, setting up keyboards, etc )

Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.

Must have a full understanding of HIPAA regulations and compliance.

Ability to follow instructions and respond to managements' directions accurately.

Must demonstrate accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.

Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.

Must be able to work independently, prioritize work activities and use time efficiently.

Must be able to maintain confidentiality.

Must be able to demonstrate and promote a positive team -oriented environment.
