Job description

The National Fleet Specialist is responsible for managing the operations of Client National department fleet. This role will serve as the primary point of contact for internal department fleet owners on all matters pertaining to their department fleet.

This role will act as the main liaison between Sales and Marketing on configuring non-employee vehicles or sourcing existing vehicles to place into service. The National Fleet Specialist will direct and coordinate with assigned departments on vehicle arrival, exchange, returned vehicle location and condition of vehicles. The incumbent will ensure all exchanges and fleet conditions are documented accurately at the time of exchange and reflected in the Vehicle Administration systems. This role will apply understanding of business initiatives and broad knowledge of company car strategy to ensure operational productivity. This position will complete high volume tasks while maintaining attention to detail.

Qualifications:

  • 3+ years of prior work experience

  • Bachelor's degree required

  • Driver's license in good standing is a must

    Responsibilities:

  • Coordinate refresh of internal vehicle fleets by collaborating with Sales, Product, and assigned Department fleet owners to ensure adequate inventory levels to minimize downtime and reduce aged vehicles

  • Direct and coordinate with assigned departments and dealership staff on ensuring vehicle arrival, exchange, returned vehicle location and condition of returned vehicle. Ensure all exchanges and fleet conditions are documented accurately at time of exchange and reflecting in the Vehicle Administration systems

  • Oversee and organizes the timely exchange of vehicles to meet monthly wholesale/retail targets for both Client and MINI by directing the responsible department on retirement of vehicles within the agreed upon delivery metrics

  • Manage delivery of fleet vehicles by coordinating with the assigned fleet owner to schedule the exchange, complete the physical exchange, update the vehicle administration systems, and ensure vehicles are returned in condition that adhere to the Client Policy

  • Coordinate the titling and registration of fleet vehicles in a timely manner by directing the local Title Clerk or 3rd party agency on registration of vehicles and delivery of physical license plates to correct location to ensure all fleet vehicles are ready to be driven and legally registered to Client

  • Ensure titles of consigned fleet vehicles are accounted for and sent to Title Management Vendor for auction or purchasing dealer in a timely manner. Work with local Title Clerk/ third party agency to order any duplicate titled and communicate with Financial Services partner on title status

  • Manages and coordinates repairs of all company vehicles with the National Workshop, Client dealership, Client/MINI Certified Collision Repair Center, or local body shop from pick-up through the timely completion of the repair to ensure the shortest downtime for the customer in their vehicle

  • Act as main liaison between the assigned fleet owner and Insurance partners on all vehicle incident/damage claims. Ensure the correct follow up of department fleet policies for damages and reporting

  • Direct the assigned department fleet owners for proper documentation of vehicle status and reporting of driver issues to adhere to the department fleet policy and to ensure protection of company assets

  • Collaborate with process partners in vehicle distribution to optimize the in-flow of vehicles and resolve any issues that may and interrupt the forecasted fleet exchange

  • Optimize and balance fleet inventory while helping the business deliver on key metrics (highest resale value, shortest days to see, etc.) and provide quality fleet program resulting in greater operational excellence

  • Ensure full compliance of federal and state legal requirements for damage disclosures for new vehicles as well as used vehicles

  • Maintain and record accurate data of vehicles via Client Vehicle Administration systems, and electronic check out sheets, including plate assignment in-service dates, customer assignment, pick-up/return vehicle condition, program, event, damage disclosures, etc.

  • Manage operational issues for day-to-day activities, respond to high priority, complete and/or escalated customer requests
