Job description

As the Receptionist, you will be the first point of contact for clients and guests, embodying the essence of the brand. Description

Office Management:

  • Greet visitors, answer phone calls, and respond to emails professionally and courteously.
  • Maintain a welcoming, clean, and organized office environment.
  • Manage and order office supplies and equipment.
  • Handle incoming and outgoing mail and packages.
  • Create spreadsheets, manage databases, and prepare presentations.
  • Manage vendor relationships, including negotiation and coordination.
  • Participate in budget preparation and administration.
  • Evaluate and implement office policies and procedures.
  • Explore and implement initiatives to enhance sustainability efforts within the office.

Support to Management and Team:

  • Provide administrative support to managers and team members as needed.
  • Assist in preparing the office for visits from global top management.
  • Coordinate special projects and initiatives to ensure their successful execution.

Client and Vendor Relations:

  • Interact professionally with employees, clients, vendors, and partners.
  • Coordinate office vendors based on organizational needs.
  • Approve vendor invoices and manage related budgets.
  • Assist in preparing materials for client or team meetings.
  • Handle client feedback and concerns professionally, ensuring issues are resolved satisfactorily.
  • Escalate complex issues to the appropriate department when necessary.
  • Collaborate with other departments to provide seamless support and information sharing.

Other Duties:

  • Perform additional tasks and assignments as needed.

Profile

  • High school diploma or equivalent; associate's degree or relevant certification is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong communication and interpersonal skills.
  • Exceptional organizational and time management abilities.
  • Keen attention to detail and a high level of accuracy.
  • Ability to work independently and collaboratively within a team.
  • Interest in the beauty industry and sustainability initiatives.
  • Discretion and confidentiality in handling sensitive information.
