Job Description:
We are seeking a young, vibrant Executive Assistant who is highly organized, detail-oriented, and thrives in a fast-paced setting. This role is essential in supporting the CEO and ensuring that daily tasks run smoothly and efficiently. The Executive Assistant will play a critical role in facilitating communication, and handling various administrative and personal tasks, allowing the CEO to focus on strategic initiatives and business growth While also executing marketing initiatives that include managing the company's brand image on social media and assisting with company culture events. Your proactive approach and ability to anticipate needs will be invaluable in enhancing the operational efficiency of our organization. Key Responsibilities:
Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling appointments, and preparing meeting materials.
Communication Facilitation: At times, serve as the primary point of contact for internal and external communications, ensuring timely and professional correspondence.
Performance Tracking: Organize and maintain reports, including KPI to provide the CEO with insights for decision-making.
Team Schedule Management: Track team schedule adherence, coordinate meetings, and ensure that all team members are aligned with project timelines.
Company Culture Events: Assist in planning and executing company culture events, including decorating to foster a positive work environment.
Personal Tasks: Manage personal errands for the CEO, such as walking the dog and handling lunch orders, to maintain a balanced work-life dynamic.
Travel Coordination: Schedule meetings and coordinate travel plans for the CEO, including attending with the CEO 1-3 trips a year, ensuring all logistics are handled efficiently.
Innovation and Trend Monitoring: Stay informed on industry developments, emerging marketing tools, and technological advancements to ensure our strategies remain relevant and competitive. This knowledge will enhance creativity and effectiveness in our marketing efforts, leading to greater campaign success.
Social Media Management: Manage the company's brand image on social media, including content development, scheduling posts, and engaging with the online community to enhance brand visibility.
Training Workshop Organization: Assist CEO in organizing training workshops, ensuring all logistics are managed smoothly and that materials are prepared in advance and participants are contacted.
Requirements
Bachelor's degree in marketing, business or communications required
Relevant certifications (e.g., Certified Administrative Professional) are a plus.
Proficiency in digital marketing tools, include social media and content marketing
Proven experience in executive support, operations, or a similar role
Excellent communication, analytical, organizational and project management, and planning skills
Must be able to travel 3 times a year
Minimum of 3-5 years of recent experience in an administrative or executive assistant
