This role provides assistance to Finance attorneys, paralegals and secretarial staff.
Responsibilities:
Prepare closing index, master closing sets and closing set variations for each transaction party
Coordinate creation of electronic closing binder/CD/USB with ECB team
Review original Notes/Certificate signature pages
Filing/LegalKEY
Minor document editing/redlining
Submission of vendor invoices and check requests, liaise with Accounting Department as needed
Preparation of expense reports
Preparation of new matter memoranda
Photocopying/scanning
Creation of labels
Assist with mailings, distributions, and faxing
Answer telephones
Enter attorney timekeeping
Binder assembly
Manage practice database(s) and database entry
Manage the process of clearing ordinary conflicts; including working with the firm's Conflicts Department to understand the nuance of the process of conflicts clearing
Prepare and send conflict waiver requests to either the client or relationship partner, as appropriate, and business confirmation requests to relationship partners
Prepare and maintain a current conflict waiver tracking log
Completion of conflicts clearance steps in C3
Liaise with attorneys, as needed, for additional information needed in order to complete the above
Performs other duties as assigned or required to meet Firm goals and objectives
Qualifications:
Education/Training/Certifications:
High School diploma or equivalent required
Associate or Bachelor's degree preferred
Professional Experience:
No prior experience required
Law firm experience preferred
Technical Skills:
Computer literacy required
Proficiency in Microsoft Office products required
Typing of 50 WPM
Performance Traits:
Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
Ability to work under pressure, meet deadlines with shifting priorities
Must be a self-starter with a high level of initiative
Strong customer service skills, able to anticipate needs
Strong attention to detail, organizational skills and the ability to handle multiple projects
Maintains confidentiality and exercises discretion
Exercises solid strategic thinking and problem-solving skills
