Job Summary
This position performs critical administrative duties at an advanced complexity level for the Swissport executive team. Incumbent represents the executive and serves as the main point of contact, interfacing with stakeholders, associates, and third parties. Coordinates scheduling and resolves issues to maximize leadership time and efforts. Responsible for reporting, file maintenance, logistics, and administrative duties that serve the effectiveness of the executive leadership team.
Job Responsibilities
This position performs critical administrative duties at an advanced complexity level for an executive and their corresponding department
Represents the executive and serves as the main point of contact, interfacing with stakeholders, associates, and third parties
Coordinates scheduling and resolves issues to maximize leadership time and efforts
Responsible for reporting, file maintenance, logistics, and administrative duties that serve the effectiveness of the executive leadership team
Support - Responsible for complex assistance and support, assessing and resolving issues that affect executive performance
Maintains in-depth knowledge of company operations, policies, and procedures to solve challenges before they escalate
Manages highly confidential and critical projects to allow executive focus on high-priority items
Documentation - Prepares and maintains a variety of records, performs activities including faxing, copying, and filing
Provides financial and business data management
Compiles information and utilizes reports to bring key factors to executive attention
Scheduling - Manages executive calendar on a daily and weekly basis to ensure focus on the highest priority and impact areas
Coordinates all planning and preparation aspects of meetings, travel plans, and other events, arranging necessary logistics and materials
Communication - Manages incoming and outgoing communications
Collaborates successfully with management and associates in completion of daily administration duties
Acts as a liaison to stakeholders, associates, and third parties on the executive's behalf
Qualifications and Competencies
Minimum five (5) years' experience as an Executive Assistant supporting multiple executive leaders
Advanced Microsoft skills
Strong attention to detail and confidentiality
Capable of managing multiple tasks and priorities while working with colleagues in multiple time zones
Demonstrated success with and oral communications
Ability to work independently and collaboratively in a fast-paces, dynamic environment
Possess excellent critical thinking, analytical processing, and risk mitigation skills
Travel:
Able to travel up to 15% to support job responsibilities.
