Position: Onsite role

As Office Manager for the Facilities unit, you will lead the forecast events for Facilities and relay changes to accounting entries for the Department. This role includes all aspect of the Facilities office management from record retention, tracking associate training, office supply ordering, administrator managing IT System requests, and office equipment needed for the associates. Oversite for the contract leader of the Janitorial operations for the site, review work quality and contract management. Develops Presentations and Budget Documents for Facilities Manager as requested.

Responsibilities:

  • Act as a Facilities Cost Controller - Support shopping cart entry and accounting reports.

  • Oversee site contracted Janitorial process. Conduct regular audits of vendor performance and work to continuously improve services and processes.

  • Lead the planning, preparation and facilitation of regular Facilities meetings such as budget, business reviews, and business planning.

  • Review year to date spend for blanket Purchasing Order's and propose quarterly changes.

  • Develop reports, charts, and presentations as requested. Enter data into reporting systems TBD.

  • Identify gaps to approved budget process and partner with appropriate teams to propose countermeasures and seek approvals

  • Oversee onboarding process for department specific components; partnering with other departments as necessary.

  • Ensure office consumables are replenished to keep the office running smoothly.

  • Control office Purchasing-Card and reconcile account monthly.

  • Support travel requests for Facilities team - Hotels, Flights, Vehicles.

  • Act as IT Liaison - Coordinate all electronic leases with IT. Handle IT systems setup for all new associates. Set up all cell phone and accessory purchases.

  • Analyze department training needs and development plans to ensure appropriate training is scheduled and completed; communicating key updates to associates.

  • Time Verification Coordinator for Facilities team. Ensure that all payroll and time policies are being completed and followed and provide training for time entry system to new associates.

  • Oversee Record Retention process and provide training for associates.

    Education/Experience:

  • HS Diploma, 2-year associate degree (preferred) or less with equivalent related work experience.

  • 3-7+ years of relevant work experience with Finance systems, Budgets, Office Management.

  • Previous Experience as an Office Manager or Administrator is advantageous.

  • Experience setting up a new office / location is a plus.

    Knowledge/skills:

  • Demonstrated ability to coach/mentor/develop team members.

  • Purchase Order Creation, modification, reports, and tracking of amounts and spend plans.

  • IT systems for Accounting (SAP), CMMS Systems (Maximo / Ework Orders) experience.

  • High Level skills with Microsoft Office (Word, Excel, Power Point).

  • Effective oral and written communication and presentation skills.
