Job description
Position Summary: Plan, coordinate, and lead a wide variety of activities and events for Independent Living residents that support the seven dimensions of wellness and contribute to a high quality of life at Montereau. Essential Functions: Plan and coordinate the details of internal and external activities and events, to include conducting research for appropriate speakers, entertainers, outings, etc., scheduling and booking the selected activity or event, and assuring it is scheduled in a timely manner and included on the calendar of events. Coordinate appropriate set up for internal events (i.e. decorations, sound, food & beverage, etc.). Submit BEOs (banquet event orders) to housekeeping and food & beverage staff in a timely manner, before the start of each month or at least one week prior to an event taking place. Represent the Wellness department at all department-coordinated resident events, including collaborative events between Independent Living and Therapeutic Recreation. Serve as the event escort for external activities when necessary or designate an event escort to assure all details are handled appropriately (i.e. fees, etc.). External activities may include overnight trips. Oversee coordination of various resident performance groups (i.e. Drama Club, Toe Tappers, the chorus, variety show, and talent show) to assure residents have a high quality experience by arranging practice schedules, researching and occasionally creating material to be used in performances, and directing the group or performance. Track expenses to assure that events and activities remain within their established budgets and that receipts are properly maintained and reports are completed for all activities and events. Submit check requests as needed. Collaborate with the Communications Coordinator to promote and advertise scheduled activities and events in order to encourage participation. Utilize input from residents (i.e. annual resident satisfaction survey and feedback from the Activities Resident Committee) in the activity planning process. Write articles for the monthly newsletter, Voice of Vitality, to include information about upcoming activities and events. Other Functions: Provide support to resident committees (i.e. veterans, activities, library, etc.), as needed. Lead scheduled fitness classes, as needed. Perform other related functions as required or as assigned. Position Requirements: Experience Minimum of 4 years of experience in an event coordination or customer service role, or other related role, is required Previous experience working with older adults or in a healthcare setting is preferred Education/Certifications/Licenses: Associate degree in business, communication, public relations, fine arts, or other related field; or an equivalent combination of education, experience and/or training is required CPR certification is required Job Specific Knowledge, Skills, and Abilities: Intermediate computer competency and ability to use and learn a variety of software programs, specifically Microsoft Office programs and Adobe InDesign; ability to operate electronic audio-visual equipment Strong interpersonal skills and understanding of quality customer management and service Strong verbal communication skills to effectively address issues and concerns with diverse populations while showing compassion and empathy Ability to effectively interact with a diverse leadership team, staff, residents, and third party associates, including vendors, providers, and visitors Ability to effectively manage sensitive and confidential communications and information, while maintaining a high level of poise, tact and diplomacy. Physical Demands: In order to accomplish the essential functions of this position, the following are required: An extensive amount of sitting, with a moderate amount of walking and standing, and an occasional amount of kneeling, bending at the waist, and reaching above the head and shoulders Ability to occasionally lift and push up to 25 pounds Frequent use of ordinary communication, including normal levels of hearing and vision Ability to use a computer or other office equipment for an extensive period of time Ability to occasionally travel by car and/or commercial airline Working Conditions: This position is performed primarily indoors in a climate controlled setting within a shared office environment. May occasionally perform work outdoors and/or go offsite for resident activities and events. Mental and Emotional Requirements: This position requires: Understanding and implementing simple written and verbal instructions, and performing basic mathematical computations Planning own work Working independently or as a member of a team, and the ability to work with limited supervision Routinely working on multiple projects, under moderate amounts of pressure for results, with frequently changing priorities Safety/Security Requirements: Must successfully pass a pre-employment drug test Must successfully pass a criminal background screening Must successfully pass a tuberculosis (TB) screening test Must comply with Montereau's Influenza Prevention and Vaccine Policy Nothing in this position description restricts management's right to assign or reassign duties and responsibilities to this job at any time.
